Position
Business Affairs & Acquisitions Administrator, onsite in St. Paul, MN. Your responsibilities will involve collaborating closely with stakeholders to define goals, capture learnings, establish schedules, and monitor progress. Your attention to detail will play a vital role in ensuring efficient project delivery and success. In addition to proactively resolving issues, coordinating logistics, providing critical updates to internal stakeholders, and tracking project deliverables, you will also assist with drafting, formatting, and circulating deal contracts, coordinating with internal review and signature processes, and maintaining organized systems for contract tracking and storage. You will support and manage deal flow across filmmakers, partners, and investors by tracking and organizing active and prospective deals, managing calendars, travel details, deadlines, and deliverables across multiple simultaneous negotiations, and ensuring smooth handoffs and communication between Legal, Finance, Distribution, and Investor Relations.

Essential Functions
- Provide end-to-end coordination
- Clear and timely communication required
- Assume full accountability for meticulous attention to detail, ensuring accurate timelines and prioritizing tasks based on overarching project goals
- Define project goals and scope, establish schedules, monitor progress and performance, and suggest changes to ensure project success
- Coordinate with other coordinators and administrative staff
- Oversee project requirements and manage project timeline
- Coordinate with outcome owners and brand managers to create a detailed project plan and monitor progress
- Coordinate project calendars and book meetings as required
- Identify and fill gaps in projects and take action
- Highlight areas of friction or redundancy and coordinate with internal teams to resolve issues
- Clearly communicate critical information to key stakeholders
- Regularly update on project status
- Track deliverables and align with deadlines
- Take and convert meeting notes to actionable items
- Must attend and contribute to regularly scheduled staff meetings
- Proficiency in speaking, reading and writing in English; additional language proficiency is a plus
- Assemble and maintain data rooms for investor and partner diligence
- Coordinate collection of financials, rights documentation, production materials, and legal records
- Ensure completeness, accuracy and timely updates for deal closing of financing reviews

- Providing executive summaries and reporting updates to leadership
- Serving as a point of contact for inbound filmmaker and investor inquiries
- Taking detailed notes in meetings and converting them into follow-up tasks
- Supporting departmental reporting with weekly/monthly deal flow updates
Work Environment
- When in the St. Paul office, a comfortable, air-conditioned work environment with open, shared space
- Physical demands: ability to sit or stand at a desk for extended periods
- Regular full-time, 40 hours per week
- Travel required, including out-of-state and international travel if needed
Education And Experience
- Bachelor’s Degree in a relevant field or equivalent
- 2-3 years experience coordinating and managing projects in the creative content and marketing industry
Preferred Education And Experience
- Master’s degree
- Experience in entertainment, finance, or legal environments (particularly business affairs, acquisition, or investor relations)
- Strong interpersonal and relationship-building skills
- Paralegal or legal training is a plus
- 3+ years coordinator experience
