Job Description

The Audience Development Coordinator supports TED’s strategic communities by drafting event communications, coordinating event operations, and keeping cross‑functional workstreams on track across TED conferences and year‑round community programming (virtual and in‑person). You’ll help deliver outstanding, audience‑tailored experiences for donors, newcomers, and other community groups.

Please submit your resume and cover letter telling us why you’d like to join our team.

Only applications with cover letters will be considered.

What You’ll Do
  • Coordinate the building and maintenance of event timelines and preparation plans for conference activations and community events.
  • Support small‑scale community events end‑to‑end: logistics, run‑of‑show drafts, and internal coordination.
  • Draft audience communications (invites, confirmations, reminders, follow‑ups), including management of attendee lists, segmentation, and send schedules.
  • Provide premium attendee support via email and in‑person; escalating sensitive issues and unusual requests as needed.
  • Maintain organized documentation (agendas, action items, contact lists, comms calendars) to ensure stakeholder visibility into statuses and deadlines.
  • Support meeting operations: schedule, draft agendas, capture decisions/owners/deadlines, and send timely recaps and follow‑ups.
  • Help maintain community databases and workflows to keep data accurate and easy to use.
  • Support conference activations and events, including setup, attendee flow, and troubleshooting to create a welcoming, inclusive environment.
  • Improve repeatable processes and templates (communications, checklists, etc) to increase consistency and reduce last‑minute work.
  • Work on‑site at TED2025 supporting Audience Development activations (must be available April 12‑17, 2025).
Qualifications
  • 2+ years of relevant experience in events, community programming, operations, communications, customer experience and/or project coordination (or equivalent).
  • Strong written communication and editing skills, with excellent attention to detail.
  • Experience supporting virtual and in‑person events, including timelines, run‑of‑show support, and day‑of troubleshooting.
  • Professional customer support skills.
  • Strong organizational skills; able to manage multiple workstreams, prioritize, and meet deadlines.
  • Working knowledge of Google Workspace (Docs, Sheets, Forms) and comfortable learning new tools.
Nice to Haves
  • Experience with Airtable and/or CRM systems; comfort working with customer records and workflows.
  • Zendesk (or similar customer service software) and basic reporting/analysis experience.
  • Degree or diploma in communications, events, community development, or related field.
