Position Overview
As an Associate Financial Advisor at Gold Leaf, you will play a key role in supporting our Advisors in delivering exceptional client service and executing day-to-day operations. This position requires strong financial literacy, attention to detail, and excellent organizational skills. Responsibilities include preparing client reports, assisting with portfolio planning, coordinating internal projects, and ensuring smooth administrative workflows across divisions. This role is ideal for someone proactive, professional, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
Executive Support & Strategic Coordination
- Work directly with the Advisors to support day-to-day operations, special projects, and firm-wide initiatives across all divisions.
- Assist with internal communications, document preparation, scheduling, and meeting coordination.
- Provide administrative support with professionalism, discretion, and a high degree of responsiveness.
- Prepare briefing materials, agendas, and reports for executive meetings and strategic planning sessions.
Client & Portfolio Support
- Review client portfolios and conduct investment research aligned with the firm’s planning strategies.
- Prepare financial reports, retirement projections, and asset allocation summaries to support client consultations.
- Create professional proposals, presentations, and client-facing documentation for meetings and reviews.
- Maintain detailed records of client interactions, deliverables, and follow-up actions.
Cross-Division Collaboration
- Liaise with all departments (Wealth, Insurance, Group Benefits/Retirement, Human Capital, Operations) to ensure streamlined execution of initiatives and timely delivery of information.
- Support internal coordination for marketing efforts, compliance documentation, and operational processes across business units.
Administrative & Account Support
- Complete and process new account applications, ensure timely setup, and support investment transactions, contributions, withdrawals, and money movement.
- Monitor progress of administrative tasks and ensure consistent follow-through on all client and internal requests.
- Manage and update client databases, KYC forms, CRM systems, and confidential files with accuracy.
Compliance, Confidentiality & Documentation
- Maintain strict adherence to compliance regulations and internal procedures.
- Support the tracking of licensing, continuing education requirements, and internal records management.
- Ensure confidential information is handled with the highest degree of discretion.
Special Projects & Internal Operations
- Assist in the execution and oversight of internal initiatives led by Advisors.
- Participate in business planning, research assignments, and presentation development for key firm decisions.
- Prepare internal communications, draft memos, and support the documentation and rollout of new policies or procedures.
Education and Certifications
- Bachelor’s degree in Finance, Business Administration, or a related field.
- Completion of or progress toward relevant industry certifications is strongly preferred, such as:
- Canadian Securities Course (CSC)
- Life License Qualification Program (LLQP)
- Conduct and Practices Handbook (CPH)
- Mutual Funds Licensing (IFIC or equivalent)
- Canadian Investment Funds Course (CIFC)
- Additional designations such as CFP, CIM, or CFA Level I are considered strong assets.
Experience
- 2–4 years of experience in financial services, wealth management, or executive-level support.
- Experience working directly with financial advisors or within an investment firm is preferred.
Technical Skills
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Familiarity with CRM platforms, financial planning tools, and investment systems (e.g., Univeris, Dataphile, Morningstar, or similar).
- Understanding of investment products, portfolio construction, and compliance practices.
