We are currently seeking a motivated and detail-oriented Administrative Assistant II to support our Fire Department. This new position was created to manage billing for Motor Vehicle Collisions (MVC) within City limits. The role will play an important part in ensuring accurate billing, financial processing, and customer service while supporting the department’s overall efficiency.

Responsibilities
  • Customer Service
  • Respond to inquiries from the public, insurance companies, and stakeholders.
  • Apply conflict resolution skills to resolve customer concerns effectively.
  • Administrative Support
  • Handle documents (generating, proofing, scanning, and organizing digital and paper files).
  • Prepare reports, correspondence, and assist with scheduling.
  • Support data entry, record-keeping, office supply management, and other tasks as assigned.
  • Project Support
  • Provide task-focused administrative support for departmental and continuous improvement projects.
  • Financial Support
  • Process billing and financial documents (A/R, A/P, petty cash, purchase card reconciliations).
  • Assist with variance analysis, payroll entry, and procurement activities.
  • Ensure compliance with established Finance and Legal Services procedures.
Qualifications

Education

  • High School Diploma or equivalent (required).
  • Post-secondary education in business administration, finance, or a related field (preferred).

Experience

  • Minimum 2 years of relevant experience in a fast-paced team environment with a focus on customer service.
  • Billing or financial processing experience preferred.

Skills & Competencies

  • Proficiency with Microsoft Office Suite and office equipment.
  • Strong organizational and time-management skills.
  • Ability to work effectively both independently and in a team environment.
  • Excellent communication and problem-solving skills.
Hours

As this is a casual role, hours will be scheduled on an as-needed basis by the immediate supervisor.

Compensation

Salary range of $26.96 to $34.83 per hour as per the Out-of-Scope Agreement.
