Overview

Are you a highly skilled Administrative Assistant looking to provide support to a collaborative group of professionals? We are looking for an Administrative Assistant who would enjoy significant responsibility including assisting with the preparation and formatting of legal documents in a busy Legal Services department. You will work with about twelve professionals on a daily basis, assisting with schedule management, database management and the formulation and maintenance of departmental policies and procedures. The successful candidate will also assist with the preparation of correspondence, arranging meetings and travel, and responding to internal and external inquiries. The Administrative Assistant reports to the Manager, CF Legal Services.

Responsibilities
  • Provide administrative support that respects confidentiality and ensures that administrative matters are organized and dealt with in a professional manner
  • Prepare and format legal documents and presentation materials; send documents to external parties; post documents on internal and external databases and specified systems
  • Proof and publish legal materials
  • Manage schedules, arrange and coordinate internal and external meetings, travel, and manage expense claims
  • Formulate and maintain departmental policies and procedures
  • Distribute information received from Commission executives and outside sources to staff
  • Coordinate communications about exemptive relief applications with legal staff
  • Act as an expert resource to Legal Services staff regarding the Commission’s document management systems as they apply to Legal Services
  • Advise staff about the Commission’s administrative processes and other matters pertaining to Legal Services and other Corporate Finance branches
  • Provide back-up support for other administrative staff in Corporate Finance
  • Respond to external inquiries from a variety of stakeholders
Qualifications
  • Secondary school graduation and a minimum of four years’ administrative assistant experience, or an equivalent combination of education and experience
  • Excellent Office 365 skills including word processing, spreadsheets and PowerPoint
  • Ability to optimize departmental effectiveness by applying excellent time management skills and good judgement to prioritize and complete work assignments
  • Ability to communicate effectively both verbally and in writing
  • Collaborative team player with excellent interpersonal and customer service skills
  • Legal secretarial experience and/or education is an asset

Salary

The starting salary for this position will be determined considering the successful candidate’s relevant experience and education, salaries of other employees in the same salary range, market conditions and other relevant factors. Starting salaries are normally below the salary band midpoint.
