Position Purpose Summary

The Administrative Assistant provides organizational and clerical support to the ministries of The Salvation Army Community Church of Lethbridge. This position ensures the efficient coordination of administrative, financial, and communication tasks, assisting Corps leadership in ministry effectiveness and community service delivery.

Accountabilities
  • General Administration and Communication
    • Answer telephone calls, greet visitors, and respond to inquiries with professionalism and confidentiality.
    • Monitor and respond to correspondence received in the shared church email inbox.
    • Prepare sign-up sheets, registration materials, and related documents as required.
    • Attend and take minutes at meetings as directed by the Corps Officer.
    • Provide administrative support to the Corps Officers and Community Ministries Officer, including assistance with correspondence, reports, and scheduling.
  • Financial and Records Management
    • Prepare bank deposits and submit relevant documentation to the regional finance office.
    • Track donations, issue tax receipts, and maintain contribution records using Shelby software.
    • Submit invoices to the regional finance office for payment processing.
    • Support Visa reconciliation and related processes through Business World.
    • Collect, compile, and enter statistics for ministry activities into SAMIS.
    • Collect and track volunteer data for corps and community programs.
    • Enter statistics into Link2Feed to track Community Services activities.
  • Worship and Program Support
    • Assist with Sunday morning ministries by preparing bulletins, worship visuals (via EasyWorship or equivalent software), and weekly email updates.
    • Provide administrative assistance for seasonal or special events as directed.
  • Communications and Digital Presence
    • Contribute to the upkeep and accuracy of the ministry unit’s website.
    • Assist with the preparation and distribution of visual, digital, and print communication materials.
  • Other duties as assigned by the Corps Officer.
Working Conditions
  • Part-time position at 25 hours per week, scheduled in consultation with the Corps Officer.
  • Work is performed primarily in an office environment.
  • Occasional evening or weekend work may be required to support ministry activities.
  • Must be capable of lifting up to 20 pounds occasionally.
Education, Experience, And Qualifications
  • Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
Education, Qualifications And Certifications
  • Completion of a formal post-secondary program of one academic year.
  • Alternative combinations of education and experience may be considered.
Experience And Knowledge Requirements
  • Two years of related secretarial or administrative experience is required.
  • Working basic knowledge of Office365 is required.
  • Experience with financial tracking and reconciliations considered an asset.
  • Familiarity with Shelby, Link2Feed, and/or EasyWorship an asset (training provided if necessary).
  • Willingness to learn Salvation Army-specific software (e.g., SAMIS, Business World).

Compensation

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
