First Onsite Property Restoration is seeking a full-time Administrative Assistant to manage the life cycle of construction job files from initiation through to receipt of payment.

The Administrative Assistant is an organizational expert who manages multiple job files from initiation to payment, ensures accuracy and timeliness, and follows standard operating procedures for data entry, tracking, and updates. If filing issues occur, you report them to the management lead and assist in providing a plan of action.

Responsibilities
  • Manage multiple construction job files from initiation through receipt of payment.
  • Complete data entry, tracking, and updates in accordance with standard operating procedures.
  • Identify and report filing issues; assist in developing action plans.
  • Collaborate with Project Managers (PM) and Construction Managers (CM) to address projects with deadlines and ensure no slippage in project planning.
  • Review projects to ensure customer standards and key performance indicators are met; follow up with PMs, CMs, and stakeholders to complete tasks and documentation.
  • Provide analysis related to job performance, including job costing, profitability, and invoice accuracy; assist in meeting weekly billing goals.

  • Intermediate computer skills including ClaimTrak, Word, Excel, Outlook, Xactimate, and XactAnalysis
  • Ability to type at least 50 WPM
  • Basic administrative / accounting math skills
