Assistant Administratif Exécutif pour soutenir le VP responsable de la planification et de la performance inter-programmes. Dans ce rôle, vous soutiendrez le responsable de département dans le suivi et la coordination des activités quotidiennes.

Job Title: Executive Administrative Assistant

Executive Administrative Assistant to support the VP Head of Cross-program Business Planning & Performance. In this role, you will assist the department manager in the follow-up and coordination of daily activities.

Responsibilities
  • Manage the agenda of the head and organize meetings, filter their inbox, and follow up on actions to be taken.
  • Track activities, files, and requests related to teams.
  • Organize meetings, business trips, and prepare appointments.
  • Maintain confidential files and update financial documents, including expenses and internal records.
  • Produce documents, presentations, reports, and graphs using office software.
  • Recommend and create process improvements and internal tools.
  • Follow up on IT access requests and incidents.
  • Support the management team in various projects, coordinate events, and handle office supplies and purchase orders.
  • Responsible for reallocating the whole team during office relocation, ensuring each team has all the equipment and tools needed.
Essential Skills
  • 2 to 5 years’ experience as an admin assistant, experience managing calendar and booking travel.
  • Bilingual (French first).
  • Must be a Canadian citizen.
Additional Skills and Qualifications
  • College diploma in office management or equivalent.
  • In-depth knowledge of computer applications, word processing, spreadsheets, databases, and presentation software.
  • Experience with unionized employees.
  • Experience with Concur.
  • Autonomous, proactive, and solution-oriented.
  • Comfortable working in a unionized and employee-focused environment.

This is a Contract position based out of Mirabel, QC J7N 3C6.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
