About the Role

Reporting to the Supervisor of Academic Advising, the Academic Advisor is responsible for providing high quality advising on academic program requirements and monitoring academic progress of students in the assigned undergraduate programs. This includes potential domestic students, transfer students, international students, exchange students (when necessary), students pursuing a minor in the program, and students seeking to change their major. The Academic Advisor conducts degree audits, coordinates Letter of Permission applications and transfer credits, supports events and recruitment initiatives, and supports readmissions. The advisor also adjudicates and monitors the registration system and stays current on effective approaches to working with diverse populations.

Responsibilities
  • Perform student academic advising for undergraduate students in the assigned programs; inform current, transfer, international, and prospective students, as well as students minoring in the program, regarding all Faculty programs and services.
  • Create student program plans, including course selection and program/Faculty/University requirements.
  • Inform students about prerequisite requirements and course restrictions, introducing them to the advising services available.
  • Respond to inquiries via email, telephone, in-person, and live chat.
  • Manage advising appointments, both virtually and in-person, and track student requests and inquiries.
  • Monitor the progress of students at risk academically, provide guidance on resources, and make referrals to support student success.
  • Perform degree audits and program adjudication at required times, making decisions and/or seeking approvals.
  • Maintain strong knowledge of the academic calendar, regulations, Faculty Handbook and other policies, timelines and important dates as needed.
  • Participate in classroom presentations, orientation sessions and workshops to support student success in advising.
  • Attend student recruitment events representing the assigned programs/Faculty and/or office (e.g., Ontario Universities’ Fair, Fall Preview Day, Spring Open House).
  • Monitor effectiveness of advising support and identify opportunities for improvement.
  • Liaise with a variety of stakeholders including Department Chairs, Administrative Assistants, the Office of the Registrar & Enrolment Services, Co-op, Career & Experiential Education, Student Wellness and Accessibility Services, Human Rights & Equity, and other Academic Advisors.
Key Skills and Experience
  • Undergraduate degree in a related field or equivalent education and experience.
  • Experience with academic advising in a post-secondary environment.
  • Knowledge of advising models, theories, techniques, and counselling theories; understanding of the undergraduate course calendar and prerequisites.
  • Knowledge of University regulations, policies, strategic initiatives, programs, services, and systems.
  • Understanding of the Freedom of Information and Protection of Privacy Act.
  • Knowledge of computer software, including MS Office, spreadsheets, database applications, CRMs, email and web applications.
  • Proven event planning and presentation skills.
  • Strong active listening, verbal, written, and interpersonal skills.
  • Ability to coach, mentor, and motivate students; patience and empathy with sensitive information; tactful and diplomatic communication.
  • Excellent creative problem solving, organizational and multitasking skills; ability to interpret and apply policies and governance documents.
Preferred or Asset Skills
  • Degree from a relevant program preferred.
  • Having experienced a non-linear path or challenging academic experiences.
Salary and Total Rewards
  • Job Grade K, Salary Scale ($61,286 – $99,384).
  • Target Hiring Range: $61,286 – $65,000.
  • This is a permanent position that includes: health & dental benefits, pension plan, vacation (up to 3 weeks per year), flexible work arrangements (hybrid schedule, role-dependent), and professional development (Brock Tuition Waiver Program).
