Due to an internal promotion, we're looking for an experienced Office Manager that takes pride in ensuring seamless operation and enjoys having a diverse range of responsibilities.

This position supports our Regional Operations Manager, Trade Commissioner / Consul General and Brazilian team to deliver on our customers goals by managing the Brazilian office.

What you'll be doing

As the Office Manager, approximately 70% of your time will be spent on ensuring and taking ownership of the finance operation function in Brazil, with the remaining 30% spent across HR (Human Resources) and operations / facilities management duties.

This includes but is not limited to; looking after cashflow forecasting, budget planning, payment approvals and bank authorisations, bank reconciliations, asset management, assisting with recruitment and HR needs, and ensuring that procurement best practice is followed including following the correct saving of confidential documentation.

This role is also responsible for Consular Officer duties, which involves helping New Zealand citizens living and travelling in and around Brazil.

This involves coordinating and assisting with any consulate events and managing complex confidential situations with empathy and resilience, providing grounded insight through your impeccable judgement, making you exceptional in all situations and especially during a crisis.

You’ll also help the Brazilian region achieve operational excellence by helping to design, develop and implement administrative systems, as well as be a champion and role‑model for great culture and collaboration.

You will work with not only the Brazilian team, but also the Latin American and New Zealand operations team (IT, Finance, HR, etc.) - as well as other office managers across the globe.

At its heart, this role is the 'glue' between the Trade Commissioner / Consul General, the Brazilian team, the NZTE operational teams, the New Zealand business community and the diplomatic community in both Brazil and Latin America.

What you'll need to be successful
  • You will be an experienced Office Manager with great administration skills and ideally, a passion for New Zealand.
  • You’ll have a strong financial background where you've had exposure to the breadth of finance administration responsibilities (budgets, forecasting, bank reconciliations), and have experience working across the HR (Human Resources) spectrum, as good working knowledge of local market contractual law and practices is required.
  • Attention to detail is a critical requirement.
  • You will be a person who has a huge amount of natural empathy and a willingness to help others, as part of this role is helping Kiwis in distress.
  • You're likely to be energized by variety and juggling multiple responsibilities, but you will also be able to focus on the detail and make sure nothing gets missed.
  • You will be a born problem solver, who likes to just make things happen!
  • Your default will be to take a collaborative approach and you build strong relationships with a range of key stakeholders with ease.
  • You will have excellent English language skills and being able to speak either Spanish or Portuguese would be advantageous.
