A Day in the Life

Responsibilities may include the following and other duties may be assigned.

  • Serve as a strategic partner to the LATAM Leader, ensuring priorities are advanced with discretion, speed, and precision.
  • Read, prioritize, and occasionally respond to emails on behalf of the LATAM Leader, ensuring timely and appropriate action.
  • Navigate the corporate environment with agility, strong judgment, and confident decision‑making.
  • Proactively manage the LATAM Leader’s dynamic calendar by scheduling, prioritizing, and adjusting meetings, with focus on urgent and sensitive matters.
  • Arrange domestic travel (flights, hotels, ground transportation, itineraries) and occasional international travel.
  • Coordinate complex meetings across multiple time zones, including agenda preparation, reminders, catering (as needed), and capturing notes or action items.
  • Ensure smooth day‑to‑day operations, optimizing workflows and driving efficiencies.
  • Assist with reviewing and editing organizational emails, including sensitive communications, and distribute per guidance.
  • Schedule and attend MS Teams meetings and webinars for large groups; act as primary or backup operator for slide progression and technical troubleshooting.
  • Plan, schedule, and manage all logistics for quarterly in‑person sales leadership meetings.
  • Coordinate operational mechanism meetings and ad hoc meetings with executives and customers, including preparation and post‑meeting follow‑up.
  • Support use of internal systems such as Salesforce, GTAT, VBrick, Cornerstone, Ariba, ReadSoft, Recognize, and IT Portal.
  • Co‑lead planning of the annual National Sales Training Meeting, working closely with corporate meeting planners, project coordinators, and communications teams.
  • Maintain comprehensive distribution lists for departmental and organizational leaders for meetings and communications.
  • Process and monitor expense reports for the LATAM Leader and direct reports, ensuring compliance and timely reimbursement.
  • Route contracts for signature, process invoices, and track status of critical documents.
  • Create and format presentations and other communications for internal and external audiences.
  • Serve as key point of contact for internal and external stakeholders, managing inquiries on behalf of senior leadership.
  • Handle confidential information with the utmost professionalism and discretion.
  • Proactively identify and implement process improvements to enhance administrative efficiency.
