Job description
Synopsis

Reporting to the Manager Training Facilities & Administration, the Training Coordination Officer is responsible for ensuring administrative logistics are arranged in line with training operations requirements.

Accountabilities
  • Coordinate with Training Planning and Delivery teams to ensure trainee and instructor records are accurately maintained.
  • Oversee training room allocation and layout setup based on session requirements.
  • Manage building access for all training participants.
  • Provide logistical and administrative support for training sessions, including hotel and ticket bookings, and manage last-minute changes or cancellations.
  • Liaise with IT, housekeeping, and maintenance teams to resolve facility-related concerns.
  • Conduct daily readiness checks for all training rooms.
  • Ensure all training materials and instructional resources are prepared in advance and available in required quantities.
  • Maintain inventory of training supplies and equipment.
  • Manage and monitor electronic learning devices (e.g., iPads, laptops) used in training.
  • Oversee assignment and completion tracking of computer-based training modules.
  • Coordinate trainee registration and booking for GCAA examinations.
  • Support the development of online workspaces and digital processes related to training logistics.
  • Manage licensing applications for training customers and instructors with relevant authorities.
  • Gather data for departmental reports and support audit preparations.
  • Provide ad hoc support to the Manager Facilities & Administration as needed.
Education & Experience
  • Diploma or bachelor's degree in a business administration function, or similar discipline.
  • Minimum of 2 years' experience in administration role, preferably in aviation industry.
