Job Description
We are looking for a proactive and detail-oriented Purchase Assistant with a minimum of 5 years of experience in the manufacturing sector. Candidates with experience in the tobacco industry will be highly preferred. The role involves managing the end-to-end procurement cycle, vendor coordination, inventory control, and ensuring timely material availability.
Key Responsibilities
- Manage the complete purchase cycle from requisition to delivery and invoice closure.
- Source, evaluate, and manage suppliers and vendors.
- Negotiate prices, payment terms, and delivery schedules.
- Prepare purchase orders and handle invoice processing and documentation.
- Maintain accurate data entry and purchase records in ERP systems.
- Track purchase orders and ensure timely delivery of materials.
- Coordinate with stores and production teams for stock and inventory management.
- Monitor inventory levels to prevent shortages or overstocking.
- Maintain strong supplier relationships and resolve vendor-related issues.
- Ensure compliance with company procurement policies and standards.
- Coordinate and line up with the reporting manager for approvals, discussions, and purchase-related decisions.
- Work closely with warehouse, logistics, and production departments to monitor stock availability and material planning.
- Track shipment status and ensure timely inward of materials as per production requirements.
- Coordinate with the warehouse team for stock reconciliation and inventory accuracy.
- Support production planning by ensuring uninterrupted material supply.
- Liaise with the logistics team for dispatch schedules and delivery timelines.
- Coordinate with the accounts department for invoice verification, payment processing, and SOA (Statement of Accounts) follow-ups.
- Ensure proper documentation and timely closure of purchase and payment cycles.
Education
- Bachelor’s Degree in any discipline (Commerce / Supply Chain / Business preferred).
Experience
- Minimum 3-5 years of experience in purchasing or procurement (UAE).
- Manufacturing industry experience is mandatory.
- Tobacco industry experience is highly preferred.
Language Requirements
- English: Good written and verbal communication.
- Hindi: Proficient (spoken and written).
