Job summary

Job Description

We are looking for a proactive and detail-oriented Purchase Assistant with a minimum of 5 years of experience in the manufacturing sector. Candidates with experience in the tobacco industry will be highly preferred. The role involves managing the end-to-end procurement cycle, vendor coordination, inventory control, and ensuring timely material availability.

Key Responsibilities
  • Manage the complete purchase cycle from requisition to delivery and invoice closure.
  • Source, evaluate, and manage suppliers and vendors.
  • Negotiate prices, payment terms, and delivery schedules.
  • Prepare purchase orders and handle invoice processing and documentation.
  • Maintain accurate data entry and purchase records in ERP systems.
  • Track purchase orders and ensure timely delivery of materials.
  • Coordinate with stores and production teams for stock and inventory management.
  • Monitor inventory levels to prevent shortages or overstocking.
  • Maintain strong supplier relationships and resolve vendor-related issues.
  • Ensure compliance with company procurement policies and standards.
  • Coordinate and line up with the reporting manager for approvals, discussions, and purchase-related decisions.
  • Work closely with warehouse, logistics, and production departments to monitor stock availability and material planning.
  • Track shipment status and ensure timely inward of materials as per production requirements.
  • Coordinate with the warehouse team for stock reconciliation and inventory accuracy.
  • Support production planning by ensuring uninterrupted material supply.
  • Liaise with the logistics team for dispatch schedules and delivery timelines.
  • Coordinate with the accounts department for invoice verification, payment processing, and SOA (Statement of Accounts) follow-ups.
  • Ensure proper documentation and timely closure of purchase and payment cycles.
Education
  • Bachelor’s Degree in any discipline (Commerce / Supply Chain / Business preferred).
Experience
  • Minimum 3-5 years of experience in purchasing or procurement (UAE).
  • Manufacturing industry experience is mandatory.
  • Tobacco industry experience is highly preferred.
Language Requirements
  • English: Good written and verbal communication.
  • Hindi: Proficient (spoken and written).
