Proposal Coordinator

Abu Dhabi, UAE

Parsons is seeking a talented Proposal Coordinator to join our EMEA Bid Studio team! In this role, you will have the opportunity to collaborate with a high-performing and dynamic team, contributing to the preparation of proposals for a range of exciting opportunities.

Responsibilities
  • Review RFQ/RFP documents and support the development of compliance matrices, capturing all submission requirements, deliverables, and response responsibilities.
  • Support the preparation of proposal kickoff meeting materials, including agendas, schedules, compliance summaries, and responsibility matrices.
  • Prepare and maintain proposal boilerplate information, including standard sections, templates, resumes, and project descriptions, in line with solicitation requirements.
  • Coordinate with subject matter experts (SMEs), discipline leads, and functional teams to assign section ownership and collect required technical and non-technical inputs.
  • Track receipt of inputs from SMEs and section owners, follow up on outstanding items, and support schedule adherence.
  • Format documents, perform desktop publishing, and complete word processing in accordance with proposal templates and branding requirements.
  • Proofread and edit technical and non-technical content to ensure accuracy, consistency, and quality.
  • Tailor written content to meet customer and solicitation requirements.
  • Support coordination with subconsultants to collect documentation, forms, and required information.
  • Coordinate with internal departments, including Contracts, Legal, Finance, and Corporate, to gather required inputs and approvals.
  • Prepare first drafts of solicitation-required forms and administrative documentation.
  • Review proposal drafts for compliance and quality, flagging gaps or issues to the Proposal Manager.
  • Support print production activities, including schedules and resource planning, to ensure timely delivery of proposal documents.
  • Prepare pre-qualification packages and support proposal closeout activities, including archiving and repository updates.
  • Research and analyze information from multiple sources, including SMEs and previous proposals.
  • Utilize AI-enabled tools to support document formatting, compliance tracking, proofreading, and content structuring, under the guidance of proposal leadership.
  • Perform other responsibilities associated with this position as may be appropriate.
  • Provide direct support to the Proposal Manager to ensure smooth coordination, compliance and timely delivery of proposal submissions.
Required Skills
  • Bachelor's Degree in Engineering or equivalent.
  • More than 5 years of related work experience in a similar role wherein preferably at least 2 years in proposal coordination.
  • Strong organizational, planning and time-management skills.
  • Effective verbal and written communication skills.
  • Ability to multi-task, maintain attention to detail and work under strict deadlines.
  • Advanced hands‑on experience in MS Word, familiarity with Microsoft Office Suite and SharePoint. Adobe Creative Suite is added benefit.
  • Working knowledge of AI‑assisted tools to improve efficiency, accuracy, and consistency in document preparation and review.
