Overview

We are seeking a proactive and detail-oriented Event Procurement Specialist to manage all procurement-related activities for events, including sourcing vendors, negotiating contracts, managing budgets, and ensuring timely delivery of goods and services. The ideal candidate will have strong negotiation skills, a solid understanding of procurement best practices, and experience in event planning or operations.

Duties & Responsibilities

Vendor & Supplier Management

  • Identify, evaluate, and select suppliers and service providers for events (e.g., venues, catering, audiovisual, staging, décor, transportation, etc.).
  • Build and maintain strong relationships with reliable vendors to ensure quality and consistency.
  • Conduct supplier assessments and performance reviews to ensure compliance with service level agreements (SLAs).

Contract Negotiation & Compliance

  • Negotiate favorable pricing, payment terms, and conditions with vendors.
  • Draft, review, and manage vendor contracts, ensuring alignment with legal and company policies.
  • Monitor compliance with contractual obligations, including insurance, safety, and delivery standards.

Procurement Planning & Budgeting

  • Collaborate with event managers and cross-functional teams to determine event requirements and procurement timelines.
  • Develop and manage procurement budgets for each event, ensuring cost-effectiveness and transparency.
  • Track procurement expenses and provide regular reporting on spending, cost savings, and vendor performance.
Job Specifications
  • Bachelor’s degree in Supply Chain Management, Business, Event Management, or related field.
  • 3–5 years of experience in procurement, ideally with a focus on events, hospitality, or marketing.
  • Strong negotiation, communication, and project management skills.
  • Excellent organizational skills and attention to detail.
