The Procurement Specialist is responsible for sourcing suppliers, negotiating contracts, and ensuring timely delivery of goods and services while maintaining quality standards and optimizing costs. The role also encompasses managing all travel arrangements, negotiating with travel agencies, handling bookings, and resolving travel-related issues, all while ensuring cost-effective travel plans and maintaining detailed records.
Supplier Sourcing and Contract Negotiation
- Source potential suppliers through market research, networking, and supplier evaluations.
- Evaluate supplier proposals and negotiate contracts to secure favourable pricing, terms, and conditions.
Internal Coordination and Strategy Development
- Coordinate with internal stakeholders to understand procurement needs and requirements.
- Develop and implement procurement strategies and policies to optimize efficiency and cost-effectiveness.
Procurement Process Management
- Manage the end-to-end procurement process from requisition to order issuance.
- Monitor the delivery status of issued orders.
- Monitor supplier performance and address any issues or concerns to ensure compliance with contract terms.
Collaboration and Documentation
- Collaborate with logistics and warehouse teams to ensure timely delivery and inventory management.
- Work with the finance department and relevant stakeholders to ensure all procurement and delivery documentation is in place for payment processing.
Data Analysis and Reporting
- Analyse procurement data and generate reports to track expenditures, identify cost-saving opportunities, and support decision-making.
- Stay updated on industry trends, best practices, and regulations related to procurement and supply chain management.
Cross-Functional Participation
- Participate in cross-functional teams and projects to drive process improvements and cost-saving initiatives.
- Assist and provide guidance to internal team members to ensure adherence to procurement policies and procedures.
Travel Management
- Manage all travel arrangements including booking flights, accommodations, and local transport while ensuring cost efficiency and adherence to travel policies.
- Serve as the primary liaison with travel agencies, negotiating contracts and maintaining relationships to ensure favorable terms and seamless travel experiences.
- Handle travel-related issues promptly, providing support to employees during their trips, and staying updated on global travel advisories.
- Maintain meticulous records of travel details, expenses, and employee feedback, and prepare regular reports for management review.

- Proficiency in procurement software, ERP systems, and Microsoft Office Suite.
