Overview
The Personal Assistant (PA) will play a critical role in supporting the Chief Executive Officer (CEO) and Executive Assistant (EA) to the CEO, ensuring smooth coordination of personal matters. Reporting to the EA, this role will provide day-to-day personal assistance to the CEO whilst also acting as an extension of the EA, ensuring tasks are completed efficiently and priorities are aligned with the CEO's schedule and commitments.
Key Responsibilities
- Support the EA in managing the CEO’s daily personal schedule, ensuring appointments and personal commitments are organized and prioritized.
- Assist with personal travel arrangements including flights, accommodation, transport, and preparation of itineraries for the CEO and his family.
- Oversee the household duties of the CEO and his family, including liaising with the driver and the household staff/ maid.
- Make reservations for restaurants, events, and other personal engagements.
- Oversee the UAE event calendar and regularly update the CEO on upcoming events for personal attendance.
- Liaise with the EA in managing and organizing the CEO\'s calendar and appointments, to ensure both personal and professional obligations are met whilst maximizing productivity.
- Join the CEO on calls related to personal matters to provide guidance and ensure timely follows up and actions as required.
- Assist with medical / dietary needs – including medical record keeping, doctor’s calls/ virtual appointments, liaising with clinics, insurance reimbursements and managing the supplement and medication intake of the CEO.
- Provide administrative support such as preparing documents, correspondence, and conducting personal research when necessary.
- Liaise with vendors, service providers, and internal teams on logistical or personal matters (e.g. personal stylists, tailors, household maintenance)
- Ensure confidentiality and discretion at all times.
- Carry out ad-hoc tasks and errands as instructed by the CEO and/or EA.
Qualifications & Skills
- Prior experience supporting a CEO or senior executive in a personal capacity
- Strong organizational and multitasking abilities with excellent attention to detail.
- Outstanding communication skills, both written and verbal.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work under pressure, adapt quickly to changes, and manage multiple priorities.
- High level of professionalism, discretion, and trustworthiness.
- Proactive, collaborative, and solutions-oriented mindset.
- A high level of flexibility is crucial to the performance of this role.
