Role Overview
We are seeking a highly organized and detail-oriented Operations Manager to oversee and streamline the day-to-day operations of Matchify. This role is critical in ensuring smooth matchmaking workflows, exceptional client experience, strict confidentiality, and efficient coordination between matchmakers, clients, and internal teams.
Key Responsibilities
Operations & Process Management
- Oversee daily operational activities related to matchmaking services
- Develop, implement, and maintain standard operating procedures (SOPs)
- Ensure smooth coordination between matchmakers, client support, and management
- Monitor operational efficiency and continuously improve processes
Client Experience & Confidentiality
- Ensure a high-quality, personalized experience for all clients
- Maintain strict confidentiality and data privacy across all operations
- Handle sensitive client information with discretion and professionalism
- Manage operational escalations related to client services
Matchmaking Workflow Management
- Oversee client onboarding, profiling, and interview coordination
- Manage internal workflows for match selection and introductions
- Ensure accurate record-keeping and database management
- Support matchmakers with scheduling, follow-ups, and reporting
Team & Vendor Coordination
- Manage and coordinate operations staff, interns, and external vendors
- Assign tasks, monitor performance, and ensure deadlines are met
- Act as a central point of communication across operational functions
Reporting & Quality Control
- Prepare operational reports and performance summaries
- Track service delivery, client feedback, and internal KPIs
- Identify areas for improvement while maintaining service quality and discretion
Requirements
- Bachelor’s degree in Business Administration, Operations Management, Hospitality, or related field
- 3–5 years of experience in operations, client services, concierge services, or premium service businesses
- Strong organizational and process management skills
- Experience handling confidential client data and sensitive information
- Excellent communication and interpersonal skills
- Professional, discreet, and client-focused mindset
Preferred (Nice to Have)
- Familiarity with CRM systems and client databases
- Experience working with high-value or professional clientele
- Understanding of privacy standards and service quality control
