Job summary

A company in the frozen food industry is seeking a detail-oriented Logistics & Documentation Coordinator to oversee logistics operations, ensuring compliance with shipping and customs regulations. You will coordinate shipments, verify documentation, and liaise with various stakeholders to optimize delivery performance. Experience in logistics, especially within temperature-controlled environments, is essential. Strong communication and organizational skills are a must, along with a problem-solving mindset. Qualifications

  • 2 – 4 years in logistics coordination, preferably in frozen food or FMCG.
  • Experience with import/export operations and customs clearance.

Position Overview

Our client, a leading company in the frozen food industry, is seeking a highly organized and detail-oriented Logistics & Documentation Coordinator to manage end-to-end logistics operations and ensure the timely flow of import, export, and local distribution activities. This role requires hands-on experience in temperature-controlled logistics, strong coordination skills with internal and external stakeholders, and excellent knowledge of all shipping, customs, and regulatory documentation.

Key Responsibilities
1. Logistics Coordination
  • Coordinate daily inbound and outbound shipments (import/export) of frozen and perishable goods.
  • Manage and track shipment schedules, delivery timelines, and container allocations.
  • Liaise with freight forwarders, shipping lines, carriers, and transport partners.
  • Monitor cold-chain compliance during transit.
  • Optimize logistics flows to minimize cost and improve delivery performance.
  • Track ETA/ETD updates and communicate changes to stakeholders.
  • Manage last-mile distribution within UAE/GCC.
  • Support warehouse operations by coordinating stock arrivals, unloading, and storage.
2. Documentation & Compliance
  • Prepare, review, and verify all shipping and customs documentation.
  • Ensure documentation accuracy and compliance with UAE/GCC regulations.
  • Coordinate with authorities for approvals, inspections, and clearance.
  • Maintain updated records of shipments and regulatory documents.
  • Ensure documents align with frozen food import requirements.
3. Coordination & Communication
  • Act as the main contact between suppliers, internal teams, logistics partners, and customs agents.
  • Coordinate with procurement and sales teams on shipment plans.
  • Communicate shipment status and challenges to management.
  • Manage claims for damaged or temperature-compromised goods.
  • Coordinate between logistics, warehouse, and finance on costs and invoicing.
4. Reporting & Administration
  • Maintain accurate logs of shipping activities and KPIs.
  • Prepare reports on shipment status and logistics performance.
  • Support audits with complete documentation records.
Qualifications & Experience
1. Required Experience
  • 2 – 4 years in logistics coordination, preferably in frozen food, FMCG, or temperature-controlled industries.
  • Experience with import/export operations and customs clearance.
  • Familiarity with cold-chain logistics.
2. Technical Skills
  • Strong understanding of international shipping processes.
  • Knowledge of UAE/GCC customs regulations.
  • Experience coordinating with shipping lines and freight forwarders.
  • Proficient in MS Office and ERP systems.
  • Ability to review shipping documents accurately.
