Overview
The Lead Management Coordinator plays a critical role in driving business growth within the exhibitions and events industry by managing lead generation, client outreach, CRM coordination, and bid/portal administration. This role supports sales and business development teams by ensuring a strong pipeline of qualified prospects, effective client engagement, and timely submission of proposals and tenders.
Lead Generation & Prospecting
- Identify and qualify potential leads through online research, industry directories, event databases, and social platforms.
- Generate new business opportunities via cold calling, email outreach, and follow‑up campaigns.
- Maintain a steady pipeline of prospects aligned with target industries and event segments.
- Track lead sources and performance to optimize future lead‑gen strategies.
Cold Calling & Client Outreach
- Conduct structured cold calls to introduce company services and upcoming exhibitions.
- Engage decision‑makers to understand their requirements and assess fit for participation.
- Maintain professional communication to nurture early‑stage leads.
Business Development Support
- Assist the sales team in converting qualified leads into active opportunities.
- Monitor competitor activities and market trends to identify new business avenues.
- Support revenue‑growth initiatives by coordinating with internal teams.
Show Marketing & Event Promotion
- Promote upcoming exhibitions and events to targeted industries and potential exhibitors.
- Coordinate marketing outreach through email campaigns, telemarketing, and digital channels.
- Manage inquiries related to stand design and construction, pricing, and event details.
Project Bid Submission
- Prepare and submit RFPs, RFQs, and tender documents for events and exhibition projects.
- Ensure all bid documents meet client specifications and submission deadlines.
Vendor Registration & Compliance
- Complete vendor registration processes for government, corporate, and event portals.
- Upload required documents such as trade licenses, certifications, and financials.
- Maintain updated vendor profiles across multiple procurement platforms.
- Ensure compliance with client procurement policies and portal requirements.
Client Liaison & Relationship Management
- Serve as the primary point of contact for lead‑stage and early‑engagement clients.
- Provide timely responses to inquiries, quotations, and project updates.
- Maintain strong relationships to encourage repeat participation and referrals.
CRM Management
- Maintain accurate and updated records of leads, opportunities, and client interactions.
- Track lead progress through the sales funnel and flag follow‑up requirements.
- Generate CRM reports for management review.
Portal & Database Management
- Manage multiple industry portals, procurement systems, and event platforms.
- Upload project details, proposals, and compliance documents as required.
