Job summary

A leading recruitment consultancy is seeking an experienced Executive Assistant to provide comprehensive support to a senior executive in Dubai. Responsibilities include managing schedules, correspondence, and travel arrangements, as well as organizing meetings and ensuring confidentiality. The ideal candidate will have at least 3 years of relevant experience and excellent organizational and communication skills. Proficiency in MS Office is essential. This is a permanent role with immediate availability required.

The Executive Assistant will provide comprehensive support to a senior executive by efficiently managing schedules, communications, and daily operations while ensuring confidentiality, professionalism, and seamless workflow coordination.

Key Responsibilities

  • Manage the executive’s calendar, schedule meetings, and coordinate appointments.
  • Handle emails, correspondence, and phone calls, acting as a liaison between the executive and internal/external stakeholders.
  • Organize and prepare documents, reports, and presentations for meetings and events.
  • Coordinate travel arrangements, including itineraries, accommodations, and transportation.
  • Plan and organize meetings, events, and conferences, including minute-taking and follow-up actions.
  • Maintain task lists, track deadlines, and manage special projects or ad hoc assignments.
  • Ensure strict confidentiality when handling sensitive information and company matters.

Requirements

Education:

  • Bachelor’s degree in business administration or a related field (preferred).

Experience:

  • Minimum 3 years of experience as Executive/Personal Assistant or in a similar role supporting senior executives.

Skills:

  • Excellent organizational, communication, and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
