Job summary

A growing travel agency in Ajman is seeking an Executive Administrative Assistant to support the CEO and General Manager. You will manage communications, assist HR and Operations, and ensure the smooth operation of the executive office. The ideal candidate has proven experience, exceptional organizational skills, and discretion when handling sensitive information. Proficiency in Microsoft Office is required, and you'll thrive in a fast-paced, dynamic environment.

Qualifications

  • Proven experience as an Executive Administrative Assistant, Personal Assistant, or similar role.
  • Exceptional organizational and time-management skills with a keen eye for detail.
  • High level of discretion and confidentiality when handling sensitive information.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite and general office management software.
  • Ability to multitask and meet deadlines with minimal supervision.
  • Must be willing to work in Ajman.

Responsibilities

  • Provide comprehensive support to the CEO and General Manager.
  • Manage the CEO's email, prioritizing and drafting responses.
  • Compose and send emails for international partners and clients.
  • Assist the HR department with administrative tasks.
  • Support the Operations department with data entry and reporting.

Key Responsibilities

As the Executive Administrative Assistant, you will provide comprehensive support to the CEO and General Manager, ensuring the smooth and efficient operation of the executive office and providing critical support across key departments.

Executive Support (CEO & GM)
  • Email Management: Daily monitoring, prioritization, and management of the CEO's email inbox, drafting responses, and flagging urgent items.
  • Correspondence: Composing, editing, and sending professional emails and communications to international partners, suppliers, and high-level clients on behalf of the CEO.
  • GM Assistance: Executing administrative and organizational tasks as directed by the General Manager (GM).
Departmental Assistance
  • Human Resources (HR): Assisting the HR department with administrative tasks such as maintaining employee records, scheduling interviews, and preparing onboarding documents.
  • Operations: Providing essential administrative support to the Operations department, which may include data entry, report generation, and coordination of operational activities.
What We're Looking For
  • Proven experience as an Executive Administrative Assistant, Personal Assistant, or similar role.
  • Exceptional organizational and time-management skills with a keen eye for detail.
  • High level of discretion and confidentiality when handling sensitive information.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office management software.
  • Ability to multitask, prioritize demanding workloads, and meet deadlines with minimal supervision.
  • Must be willing to work in Ajman.
