ROLE SUMMARY:
The candidate oversees all paralegal and corporate documentation activities, ensuring fast, accurate, compliant, and efficient processing of legal documents, attestations, ministry submissions, court filings, corporate services, licensing services, and government transactions.
The role ensures that all documentation meets UAE legal standards, with minimal errors and high customer satisfaction, while supervising a large operational team and coordinating closely with legal advisory and operations leadership.
Key Responsibilities (Major Duties)
- A. Paralegal Operations Leadership
- Leads and manages all paralegal and corporate service activities.
- Ensures the team prepares, reviews, and processes documents accurately and on time.
- Oversees workflows involving documentation, translation, attestation, notarization, and submissions.
- B. Documentation & Filing Oversight
- Ensures documents submitted to courts, ministries (MOJ, MOFA, ADJD, MOHRE), notary, and licensing departments meet compliance and quality requirements.
- Approves sensitive or complex documentation cases.
- Ensures all submissions follow correct procedures with minimal rejections.
- C. Compliance & Risk Management
- Ensures compliance with UAE federal laws, ministry requirements, data protection (PDPL), and internal procedures.
- Reduces risk of fines, delays, or case rejections through rigorous quality control.
- Conducts internal audits and case checks to ensure accuracy.
- D. Process Optimization
- Designs and improves workflows for corporate services, document processing, and paralegal support.
- Implements automation and digital tools to reduce processing time.
- Ensures SOPs are updated and followed by all paralegal staff.
- E. People Leadership & Team Development
- Supervises 8 paralegal assistants and related staff, ensuring high productivity and quality.
- Provides coaching, on-the-job training, and performance improvement plans.
- Ensures staffing adequacy and efficient task distribution.
- F. Client Interaction & Service Management
- Handles escalated client issues requiring legal-processing interpretation.
- Supports customer service with document requirement clarifications and status updates.
- Ensures service excellence and transparency in all client interactions.
- G. Reporting & Coordination
- Provides detailed operational reports to the CEO and Director of Operations on accuracy, SLA adherence, caseloads, and rejections.
- Collaborates with Legal Advisory, HR, Sales, and Finance to enable smooth service delivery.
