Job Purpose

To contribute to the governance, asset and property lifecycle by monitoring field inventories and updating the asset system, supporting acquisition processes, monitoring compliance with standards and regulations, and preparing periodic performance reports that help preserve asset value and maximize utilization.

Qualifications & Experience
  • Bachelor’s degree with 2+ years of experience, OR
  • Diploma with 9+ years of experience
  • Preferred fields: Business Administration, Information Technology, Engineering, or any related discipline.
Key Responsibilities

Institutional Responsibilities

  • Carry out assigned duties in line with governance frameworks, policies, and procedures approved at department and ministry level.
  • Ensure compliance with corporate excellence standards, risk management, and departmental guidelines.
  • Prepare required reports according to ministry needs and external requirements.
  • Contribute to change management initiatives within the department and support in achieving results.
  • Continuously look for opportunities, new ideas, or innovative solutions to improve processes and meet challenges.
  • Strive to develop technical and professional skills in line with role requirements.

Functional Responsibilities & KPIs

  • Asset Inventory & Records Management
    • Conduct regular field inventory rounds to verify assets and ensure alignment with the electronic system.
    • Update asset attributes (status, location, value, etc.) immediately upon any movement or change.
    • Document supporting records in line with governance policies.
  • Asset Lifecycle Monitoring
    • Carry out initial inspections and receipt of new assets to verify compliance with specifications before entry in records.
    • Follow preventive maintenance schedules in coordination with technical teams, ensuring completion as per approved plan.
    • Document all maintenance work for critical assets.
  • Operational Support & Allocation
    • Coordinate asset movement, transfer, or reallocation across departments and issue movement orders.
    • Secure necessary approvals to ensure business continuity.
    • Participate in evaluating requests for new asset purchases and provide technical recommendations supporting procurement decisions.
  • Performance & Compliance Monitoring
    • Follow up on compliance with regulations and standards related to asset management and prepare audit files.
    • Use dashboards and digital tracking tools to issue monthly asset performance reports highlighting efficiency indicators and improvement recommendations.
  • Asset Disposal & Sustainability
    • Implement safe and sustainable disposal procedures at end-of-life, ensuring compliance with health, safety, and environmental standards.
    • Propose opportunities for reuse or recycling to maximize remaining value.
  • Other Duties
    • Perform any other tasks within the scope of the role or as assigned by the Head of Department
