Overview

Our client is looking for an Arabic speaking Legal Secretary to join their law firm.

Responsibilities
  • Create and amend documents, correspondence and emails, using audio dictation and manuscripts to a high degree of accuracy within tight deadlines.
  • Prepare and format documents in house style.
  • Use electronic track changes for document comparison and composite software.
  • Be familiar with a multitude of different legal documents with the ability to perform a basic review.
  • Provide support to colleagues regarding standard form documents.
  • Provide comprehensive support to all members of Group Legal including administrative liaison with external advisors.
  • Be proficient in the use of Word, Excel, Visio, Outlook and PowerPoint and other standard applications.
  • Maintain and update precedent system, legal services resource library and e-library of standard forms and templates.
  • Maintain complex Group Legal filing systems and control records for legal documentation used, created and reviewed by Group Legal.
  • Handle confidential material and ensure the code of confidentiality is kept at all times whilst maintaining professional office etiquette and discretion.
  • Handle incoming correspondence for the Executive Director- Legal (including e-mails, faxes and post) and deal with them as appropriate.
  • Assist in the organisation of meetings and conferences.
  • Answer the telephone in a polite, courteous and professional manner.
  • Perform other duties that the Executive Director- Legal and/or management may from time to time reasonably require.
Qualifications
  • Be educated to a minimum A-level (or equivalent) standard of education.
  • Possess formal secretarial qualifications.
  • Have a minimum of five years' senior secretarial/ administrational experience in an international law firm or in-house legal department of a multi-national company.
  • Be familiar with and able to uphold confidentiality requirements.
  • Have excellent written and spoken English with strong communication skills.
  • Demonstrate acute attention to detail.
  • Have excellent IT skills (Word, Excel, Visio, PowerPoint and Outlook) and a minimum typing speed of 60 wpm and to be able to undertake audio dictation.
  • Have problem solving ability.
  • Have the ability to identify areas of improvement and act on them.
  • Have an excellent telephone manner.
  • Have confidence, enthusiasm, energy and a proactive flexible approach to work tasks.
  • Be able to take initiative to get jobs done autonomously, but know when to ask for assistance or clarification.
  • Be highly professional and a strong internal-client focus with an ability to work closely with others as a team member.
  • Have the ability to organise, prioritise and multi-task workloads whilst maintaining a flexible approach.
  • Have the ability to build relationships with a diverse range of people.
  • Salary: AED17-19,000 depending on experience.
