Job summary

A growing manufacturing company in Dubai is seeking an organized and proactive Administrator / Executive Assistant to support the General Manager. This role involves day-to-day administration, travel arrangements, and stakeholder communication, requiring 3–4 years of relevant experience. The ideal candidate must have a strong command of English and be immediately available to join. This position offers working hours of 7:30am – 5:00pm, Monday to Friday.

Qualifications

  • 3–4 years of relevant administrative or executive assistant experience.
  • Previous experience in the UAE is strongly preferred.
  • Fluent English (written and spoken) is essential.
  • Must be immediately available to join.
  • Own car required (DIP1 location).

  • Provide day-to-day administrative support to the General Manager and office team.
  • Manage the GM’s calendar, including scheduling meetings across multiple time zones.
  • Handle travel arrangements – flights, hotels, visas, and itineraries.
  • Coordinate meetings, prepare agendas, and handle correspondence.

Overview

The Role

Our client is a small but growing manufacturing company based in DIP1, with a hardworking team and a supportive, family-style culture. They care about each other and value people who share their commitment to working together to achieve success. They are looking for an organised and proactive Administrator / Executive Assistant to provide vital support to their General Manager and wider team. The role will cover a mix of general administration and executive assistance, with plenty of variety day to day.

Responsibilities
  • Provide day-to-day administrative support to the General Manager and office team
  • Manage the GM’s calendar, including scheduling meetings across multiple time zones
  • Handle travel arrangements – flights, hotels, visas, and itineraries
  • Coordinate meetings, prepare agendas, and handle correspondence
  • Liaise with customers and stakeholders professionally
  • Maintain organised filing and records (electronic and paper-based)
  • Support with general office administration as required
Requirements
  • 3–4 years of relevant administrative or executive assistant experience
  • Previous experience in the UAE is strongly preferred
  • Fluent English (written and spoken) is essential
  • Highly organised, detail-oriented, and able to manage multiple priorities
  • Strong communication skills and confident dealing with internal and external contacts
  • Flexible approach, with the ability to adjust hours when needed to support the GM while travelling
  • Must be immediately available to join
  • Own car required (DIP1 location)
Working Hours

7:30am – 5:00pm, Monday to Friday (5 days in office)
