Job summary

A leading HR consulting firm in Singapore is seeking an individual for an administrative role focused on validating data in the CRM system and coordinating Gift Impact Reports. Candidates should have advanced proficiency in MS Office, strong command of English, and excellent organisational skills. The position demands attention to detail, multitasking abilities, and resourcefulness, with a preference for those familiar with creative software. This role is a 6-month renewable position.

Job description
  • Location: Pionner
  • Working Hours: Mon – Thurs: 8.30 am – 5.45 pm , Fri: 8.30 am – 5.15 pm
  • 6 months (renewable, subject to performance)
Job Scope
  1. Validate and update the Administration to ensure accuracy and proper entry of information into the CRM system.
  2. Monitoring and organising the Stewardship mailbox and assigning / tracking Stewardship request tasks in CRM.
  3. Coordinate and manage the production process of Gift Impact Reports from data gathering to final delivery to donors.
  4. Assist project lead with GIR schedules, track milestones, and ensure deadlines are met across multiple workstreams.
  5. Coordinate the work of agencies, designers, and freelancers to ensure quality, timeliness, and brand alignment for GIR.
  6. Manage GIR administration, including communicating with school administrators on qualitative impact report submission.
  7. Validate recipient information against notification letters and verify financial data to ensure accuracy and compliance for GIR.
  8. Review GIR content for factual accuracy, narrative coherence, and clarity of presentation (e.g. structure, headers, visuals.
  9. Coordinate with team members to ensure timely completion of tasks and maintain data integrity.
Administrative Responsibilities
  1. Ensure the donor database is updated with the latest information provided.
  2. Provide general administrative support in other assigned areas for the team.
Requirement
  1. Advanced proficiency in MS Office applications, particularly MS Word.
  2. Strong command of written and spoken English, with good report-writing and editing skills.
  3. High level of attention to detail and accuracy when reviewing documents and information.
  4. Good organisational and coordination skills, with the ability to track tasks, timelines, and follow-ups.
  5. Ability to work effectively with internal stakeholders and school administrators to gather and consolidate inputs.
  6. Comfortable handling administrative processes and maintaining proper records and documentation.
  7. Able to manage multiple tasks concurrently while maintaining quality and timeliness.
  8. Demonstrates resourcefulness and flexibility in problem-solving.
  9. Competency in creative software such as Photoshop and/or Illustrator is an added advantage
