Job Description

The Social Work Assistant supports the Social Workers in the administrative functions related to students' matters such as preparing students admissions letters and documents, processing subsidies applications, and administering subsidies. He / She will also support the school general office in day-to-day operations, including working with bus vendors and uniform vendor.

Job Responsibilities

Financial Administration:

  • Process applications for MOE FAS, VWOTS, STS, SPMF, Edusave, GIRO, Student Pass, Concessionary Pass, DDR Card etc, matters related to students.
  • Administer various subsidies and Edusave.
  • Maintain an updated list of recipients for MOE FAS, ETS, STS, SPMF, and travelling subsidy.
  • Compile and collate MOE FAS, ETS, STS and travelling expenditure and submit to Admin & Operations Manager (AOM).
  • Submit reports for MOE FAS, ETS etc to the relevant governing bodies.
  • Prepare and submit budget for FAS meals to AOM.
  • Assist in administering Means Testing.

General Office Administration:

  • Prepare letters for admission interviews.
  • Prepare admissions letters and relevant documents for new admissions.
  • Prepare letters of discharge or transfers for students.
  • Maintain processing list and admission data.
  • Update enrolment status onto SSM system on monthly basis.
  • Prepare, maintain, and update students' personal files.
  • Prepares class registers, students' bus listing, name tags for new enrolments.
  • Uses IT infrastructure to increase work productivity and improve efficiency in work processes.
  • Support Social Workers in-house trainings for caregivers, e.g. collating sign-ups, booking of venue.
  • Uploads information into the eCMS system for graduates.
  • Support General Office day-to-day operations, e.g. answering phone calls, enquiries, school events like Parents-Teachers Meeting, Annual Award, Graduation Ceremony etc.

Stakeholder Engagement:

  • Liaise with caregivers on the various documentations required for enrolment, transfer, graduation and discharge, subsidies applications, and other applications e.g. concessionary cards, bursary, CDAC etc.
  • Support SW on first day enrolment for new admissions
  • Liaise with bus vendors for students' transport matters.
  • Liaise with school uniform vendor.
  • Collaborate with class teachers on students matters such class attendance, Edusave matters, school awards etc.
