- Be a part of campus operations, conducting site walkthroughs, managing tenancy records, tenant communications, preparing reports and marketing materials.
Key Responsibilities:
- Conduct scheduled campus walkthroughs to gather timely information for leasing, operations and compliance; take photos on personal devices and upload them to shared folders.
- Assist in creating marketing collateral and other materials using Microsoft Office applications.
- Manage and respond to general and leasing email enquiries using provided templates; handle correspondence from the leasing inbox.
- Update and maintain tenancy schedules and related lease documentation under supervision.
- Reconcile audited sales reports and assist with updating rental billing records under guidance.
- Monitor tenant obligations and send regular reminders for rental arrears, utility payments, audited sales and other required submissions.
- Track the status of tenants’ required submissions, keeping accurate and organised records of documents.
- Support contract administration and lease documentation tasks under directions
- Prepare license agreements and track license expiries for vending, telecom equipment and other licenses; update leasing maps as instructed.
- Compile operations-related data received from tenants (e.g., servicing frequency reports, payment charges) for record-keeping and reporting.
- Perform basic on-site checks and attend tenant/operator meetings for contract-related matters.
- Carry out ad-hoc administrative duties and special tasks as assigned.
Key Requirements:
- Diploma/ Bachelor's Degree in a relevant field.
- Highly proficient in Microsoft Office, with strong Excel and PowerPoint skills.
- Strong communication & customer service: Clear written and verbal skills to handle tenant enquiries professionally and liaise with stakeholders.
- Detail-oriented & organised: High attention to accuracy for record-keeping, reconciliations and deadline-driven tasks.
- Comfortable with on-site fieldwork: Willing to do regular campus visits, take photos on a device and upload materials; able to work independently.
