Job Summary
Support the Sales General Manager by managing sales order processes and coordinating cross-departmental activities to ensure timely order fulfillment and customer satisfaction. Collaborate with internal teams and external partners to drive operational efficiency and support brand growth initiatives.
Support the Japanese Sales & Marketing Director to generate sales reports in Japanese for discussion and meeting with our Japan HQ Sales Department.
Responsibilities
- Liaise closely with Japan HQ Sales Dept and local sales team on the creation, update, and amendment of sales orders to facilitate smooth inter-department circulation and accurate order processing.
- Support Meiji direct export accounts, Meiji Japan HQ accounts, and Meiji overseas local office accounts by maintaining effective communication and order coordination.
- Liaise with Japan HQ Sales Department to clarify and confirm order details, ensuring alignment with business requirements.
- Coordinate with Production Department to monitor production capacity and confirm order completion dates for timely delivery.
- Collaborate with Purchasing Department to verify availability of packaging materials and raw materials to support uninterrupted production.
- Communicate with Shipping Department to confirm shipment dates and vessel availability, ensuring on-time dispatch.
- Engage with customers to address inquiries and maintain positive relationships.
- Prepare cost statements for new and renewal orders and submit documentation for FTA Form D compliance.
- Maintain and update stock inventory control to provide accurate data for operational planning.
- Support the Sales & Marketing Deputy Director by preparing sales and marketing reports and shipment reports in Japanese for him to attend meetings and discussions with Japan HQ Sales Department.
- Engage in Sales forecasting and budget meetings with Japan HQ Sales Dept together with the Deputy Sales & Marketing Director.
- Develop stock reorder forecasts, including proposals for new products, to optimize inventory levels.
- Liaise with local production team and QC team to investigate customer complaints received by Japan HQ and reporting back on the findings.
- Support brand promotion activities by assisting in planning and execution to enhance market presence.
- Assist marketing teams in organizing and supporting events to drive brand engagement
- Participate in the development and planning of new products by liaising closely with local and Japan HQ R&D Dept.
