Job description

JOB SUMMARY: The Property & Admin Executive is responsible for providing comprehensive secretarial and administrative support to the Facilities Department while managing and maintaining leased properties.

The role requires strong organisational skills, attention to detail, and the ability to work both independently and collaboratively. The Management team will set policies and provide guidance, but the incumbent is expected to exercise initiative and ensure efficient day-to-day operations.

Key Responsibilities
Property & Facilities Management
  1. Plan, execute and oversee all facilities management activities.
  2. Coordinate with external contractors for building maintenance and defect rectification.
  3. Prepare, update and maintain detailed property management records, reports and documentation.
  4. Assist with accounting and administration matters.
  5. Monitor, review and manage all property-related contracts, agreements and insurance policies; recommend renewal or initiate quotation/tender exercises prior to expiry.
  6. Serve as the primary liaison with landlords and tenants, promptly addressing queries and resolving issues.
Administrative Secretarial Support
  1. Assist Property Manager with day-to-day secretarial duties, including answering calls, taking messages, scheduling meetings/appointments, and following up on instructions and activities.
  2. Manage filing systems to ensure accurate and up-to-date documentation for the Management team.
  3. Provide administrative support to managers and staff as required.
