Job summary

A recruitment agency in Singapore is seeking an Administrative Support Specialist for ACMV and Fire Protection System projects. The ideal candidate will have 1–3 years of relevant administrative experience, strong knowledge of project documentation, and good understanding of procurement processes. Responsibilities include managing records, ensuring compliance with project documentation, and coordinating workflows within the project team. Qualifications

Responsibilities
  • Provide full administrative and documentation support for assigned ACMV / Fire Protection System projects.
  • Prepare, update, and maintain project records, reports, and filing in accordance with company documentation policies.
  • Assist in reviewing vendor claims, ensuring accuracy and compliance with project requirements.
  • Coordinate and streamline administrative workflows to ensure smooth day-to-day operations within the project team.
  • Facilitate effective information flow between internal departments, site teams, vendors, and relevant stakeholders.
  • Support the department in setting goals, tracking deadlines, and managing project deliverables.
  • Implement and uphold administrative policies and procedures to improve departmental efficiency.
  • Manage and monitor procurement of office and project-site supplies within approved budgets.
  • Oversee general office and site-related administration, ensuring compliance with safety, environmental, and security standards.
  • Handle purchase orders, tax invoices, and ensure proper control of all purchasing documentation.
  • Coordinate the purchasing of materials, equipment, and supplies, and follow through on invoice processing.
  • Assist with business administration tasks and office facilities management as required.
  • Maintain organised records for easy retrieval and audit readiness.
  • Candidates with prior LTA project experience will have an added advantage.
Requirements
  • Preferably 1–3 years of administrative experience in construction, ACMV, FPS, M&E, or specialist subcontracting environment.
  • Strong knowledge of project documentation, filing control, and administrative coordination.
  • Good understanding of purchase orders, invoices, and basic procurement processes.
  • Candidates with LTA project exposure will be viewed favorably.
