Job Title

Preschool Admin Executive

Responsibilities
  • Manage enrolment processes, including registration and withdrawal of children.
  • Prepare and maintain student records, including personal details, health information, attendance, and other relevant data.
  • Handle communication with parents and guardians, including distributing newsletters, updates, and responding to inquiries.
  • Coordinate and prepare monthly reports and submissions to relevant Government Agencies (e.g., ECDA) and the Head Office.
  • Maintain and update the preschool's filing system and database management.
  • Handle scheduling and coordination for meetings, events, parent-teacher conferences, and school activities.
  • Manage invoicing, fee collection, and other payments.
  • Issue receipts, track payment status, and follow up on outstanding fees.
  • Handle petty cash disbursements and maintain accurate records of expenses.
  • Manage procurement processes, including submitting purchase orders for supplies, uniforms, and teaching materials.
  • Monitor the upkeep of school facilities and equipment (e.g., copier machines, computers, telephones).
Qualifications (Required)

Proficient in Microsoft applications (Outlook, Word, Excel).

Minimum GCE ‘O’ Level qualification.

Preferably, prior experience in an administrative role.
