Personal Assistant (Office Administrator)

Key Accountabilities
  • Provide secretarial and administrative support to VP Manufacturing
  • Manage diaries, including arranging meetings. Ensure all resources are in place, materials are circulated in advance if necessary. Coordinate complex travel arrangements for leadership team, dealing with any changes which may be required at short notice, including obtainment of necessary travel documents
  • Undertake general office management activities, including ordering of stationary, work PPE for all employees
  • Provide administrative support to managers on relevant systems, e.g., Coupa, Concur
  • Maintain distribution lists, draft and circulate relevant communications
  • Manage admin and assist new hires on any logistics matters as required
  • Active member of Seletar LiveWell and FBSG PTOP committee
  • Focal contact person of FBSG on general matters, e.g., IT, suppliers, travel, conferencing
  • Provide secretarial and administrative support to VP Manufacturing; manage daily calendar and coordinate appointments. Structure and maintain plant standard diary – plan and organise meetings
  • Make travel arrangements – air flight, accommodation, ground scope, itinerary, etc. Assist in preparing presentation, storyboard materials and taking minutes where required. Assist to publish weekly newsletter – coordinate, edit and insert slides as necessary. Attend weekly staff meeting and follow up on actions as required. Carry out specific projects – undertake simple, well‑defined projects either individually or as a team
  • Office Management: responsible for ensuring smooth running of office operations which include security, office maintenance, property management, office equipment, etc. In charge of outward and inward mailings. Source and order office consumables. Raise purchase request in SAP and SES. Establish standards and procedures on work wear and office stationeries. Quality and safety – ten good spots and two OFIs. Cost and cash. Develop a robust purchasing strategy. Delivery in‑charge of work wear. Coordinate visits – arrange host and get security clearance. Meet and greet visitors of all levels of seniority
  • Plan VIP visit agenda and assist in logistics matters
  • People: communicate and co‑coordinate across site functions ensuring that business teams are adequately supported
Key Experiences & Qualifications
  • 3‑6 years of experience in a PA/site support role
  • Ability to operate calmly under pressure and establish own work priorities to deliver against deadlines
  • Excellent attention to detail; produce accurate work in a timely manner
  • Ability to exercise judgement and act on own initiative
  • High degree of computer literacy in Microsoft Office applications
