Job Title: Operation Executive/Manager

At Space Faculty, we chart pathways from earthly dreams to interstellar reality. As a Project Manager, you will be the primary engine driving our flagship programmes, including the International Space Challenge (ISC), World Robot Olympiad Singapore (WROSG), and GNSS Innovation Quest (GIQ) as key programmes.

You aren’t just managing events; you are cultivating the next generation of deep‑tech talent. You will lead the full‑cycle execution of workshops, competitions, and executive programmes, ensuring every touchpoint is professional, participant‑focused, and aligned with our vision of a global space talent hub.

Key Responsibilities
1. End‑to‑End Project Leadership
  • Full‑Cycle Management: Lead the planning, execution, and delivery of multiple concurrent programmes, including budgeting, resource allocation, and timeline management.
  • Stakeholder Synergy: Act as the primary liaison with the operations team of government agencies (e.g., SLA), industry giants, and international partners to ensure a smooth operation of the programmes. Ensure judges and key stakeholders receive timely information including judging rubrics and judging material.
  • Risk & Reporting: Proactively identify project risks and provide post‑event reports highlighting opportunities and challenges.
2. Manpower & Volunteer Management
  • Recruitment & Sourcing: Lead the recruitment of part‑time staff and volunteers from schools, universities, and the community to support large‑scale competitions.
  • Onboarding volunteers and part timers: Develop briefing materials and conduct training sessions to ensure all part‑timers and volunteers embody the Space Faculty standard and understand their specific technical or operational roles.
  • Rostering & Supervision: Design and manage manpower rosters, ensuring adequate coverage for registration, adjudication, crowd control, and technical support.
  • Leadership on the Ground: Act as the main point of contact for the temporary workforce during events, providing clear direction and maintaining high team morale.
3. Operational Excellence & Logistics
  • Event Architecture: Oversee venue logistics (setup/teardown), fabrication of competition materials, and equipment procurement.
  • On‑site Command: Manage live event operations, including registration flow, scoring systems, F&B etc.
  • Vendor Management: Negotiate and manage contracts for F&B, AV, printing, and technical support to ensure cost‑efficiency and high‑quality delivery.
4. Programme & Technical Support
  • Educational Facilitation: Support technical briefings and webinars featuring global experts and speakers.
  • Documentation: Prepare and disseminate documentation, including run‑sheets, judging rubrics, and confidential operational notes.

Qualifications & Experience
  • Education: Diploma or Degree in Project Management, Business, Engineering, Events Management, or a related field.
  • Experience: 2–5 years of proven experience in project or event operations.
  • People Management: Direct experience in recruiting and managing groups of volunteers or part‑time staff is highly essential for this role.
  • Network: Prior experience collaborating with government agencies or academic institutions is preferred.
  • Travel: Willingness to support teams representing Singapore at international finals as required.
