Job description

The Operations and Admin officer will be responsible to assist the CEO in ensuring the routine operations and admin functions of the fund management company. Working directly with the CEO, this role is critical to ensuring the smooth and efficient functioning of the operational and administrative processes. The candidate will manage administrative duties, regulatory compliance, and work closely with internal and external stakeholders to ensure alignment with the company's goals and regulatory obligations.

Key Responsibilities:
  • Support the CEO in managing the day-to-day operational and admin functions of the fund, including trade execution, settlements, and reconciliation of transactions.
  • Coordinate with external service providers such as fund custodians, brokers, and administrators in operational and admin matters.
  • Assist the CEO with administrative duties, including calendar management, meeting scheduling, preparing meeting materials and minute taking.
  • Prepare reports and presentations for executive meetings, highlighting key operational metrics and strategic recommendations.
  • Assist in the preparation and submission of KYC/AML documentation, and liaise with external auditors and legal counsel as required.
  • Ensure the company maintains up-to-date compliance records and assist in the implementation of compliance programs.
  • Oversee office operations, including procurement of supplies, coordination of office services, and vendor management.
  • Support the CEO in managing client communications, including preparing and distributing investor reports, and handling investor queries.
