Role Summary

This role provides administrative, logistics and coordination support for the planning and delivery of our client's activities and engagement events. The staff member will support the maintenance of ecosystem database, manage scheduling, communications, procurement, vendor coordination and on-site event support.

Key Responsibilities
Administrative Coordination
  • Build and maintain ecosystem database and events calendar.
  • Manage meeting scheduling, calendar coordination and invitations.
  • Support email communication and follow-ups with members and partners.
Logistics & Event Support
  • Arrange venues, catering/F&B, equipment and room setup for meetings and events.
  • Coordinate procurement requests, quotations and submissions.
  • Prepare registration lists, name tags, run sheets and check-in workflows.
  • Provide on-site support during events (registration, room setup, liaison with venue staff).
Programme Tracking & Documentation
  • Maintain the timeline calendar for activities and key milestones.
  • Track deliverables, action items and follow-ups across workstreams.
  • Support preparation of presentation slides, briefing notes and summary reports.
  • Maintain event documentation, photos, and post-event materials.
Requirements
Education and Experience
  • Diploma or equivalent professional experience.
  • Experience in administration, coordination or events support.
Skills
  • Strong organisational and scheduling skills.
  • Clear written and verbal communication.
  • Proficient in Microsoft Office / Google Workspace (Docs, Sheets, Slides).
