Job description

We are looking for a Project Administrator to coordinate and administer routine support tasks and new project initiatives. You will support the department in all project‑related administrative and clerical duties and communicate with internal or external parties to get things done.

Key Responsibilities
Project & Operations Support
  • Coordinate access clearance submissions, renewals, and compliance tracking with security teams.
  • Support Permit-to-Work (PTW) submissions and assist Project Engineers with goods verification.
  • Maintain accurate inventory and asset records using Microsoft Dynamics 365 (D365).
  • Manage storerooms and coordinate deliveries with the central warehouse team.
  • Follow up with vendors on equipment repair/return (R&R) matters and prepare monthly status reports.
  • Assist in monthly standby allowance submissions and time‑tracking coordination for project teams.
  • Liaise with the Office Manager to ensure workspaces are well‑stocked and operational.
Service Improvement & Administration
  • Maintain and update project documentation, workflows, and SOPs to meet audit and compliance needs.
  • Provide administration support for CRM tools (Salesforce), including issue tracking and enhancements.
  • Coordinate and track training sessions; support internal knowledge sharing.
  • Monitor and track vendor KPIs and feedback.
Profile description
  • Degree/Diploma in Business Administration or related field or possesses equivalent practical experience.
  • At least 3 years relevant Project Administration experience, preferably in an Enterprise environment.
  • Organized, detail‑oriented, and comfortable juggling multiple tasks.
  • Strong in coordination, follow‑up, and stakeholder communication.
  • Proficient in Excel / Microsoft 365 tools (bonus if you’ve used D365 or Salesforce).
  • Prior experience in project administration, PMO support, or operations coordination is a plus.
  • Open to occasional travel between client sites.
