Our subsidiary Institut Pengajian Islam Pergas (IPIP) is currently looking to fill the following role:
The Human Resources & Office Management Lead is responsible for driving strategic HR and office initiatives that support IPIP organisational goals. This role partners closely with shared services to oversee recruitment, talent development, performance management, HR policies and payroll processes, while optimizing office operations and resources. Acting as a trusted advisor to management, the role enhances employee engagement, organisational capability and operational effectiveness to ensure a productive, compliant and high‑performing workplace that aligns with the IPIP’s strategic objectives.
Main Responsibilities
- Lead the HR function, coordinating recruitment and talent acquisition activities in collaboration with the shared services partner, including job postings, shortlisting, interviews and onboarding.
- Provide HR guidance to staff and management on policies, employee relations and performance matters, ensuring consistency and alignment with organisational standards.
- Manage performance management and employee development processes, tracking goals, appraisals and training needs to build organisational capability.
- Oversee HR records, reporting and analytics in coordination with shared services to ensure accurate data and informed decision‑making.
- Implement and maintain HR policies, SOPs and payroll processes, ensuring compliance and effective communication across the organization.
- Lead learning and development initiatives, including training programs, skill gap assessments, and tracking outcomes to strengthen staff capabilities.
- Manage office and estate matters, including facilities, resources, and workplace safety, to support smooth daily operations.
- Drive HR initiatives and operational projects across departments, ensuring HR practices are aligned with IPIP Educational mission, values, and goals, and support excellence in teaching, learning, and service delivery.
Education & Experience
- Diploma or Bachelor Degree in Human Resource or equivalent
- Minimum 3 years of progressive experience in human resources, office management, or a combined HR/Administrative role.
- Proven experience in strategic HR functions such as recruitment, performance management, learning and development, and HR policy implementation.
- Demonstrated ability to manage office operations, vendor relationships, and budgets efficiently.
- Strong experience in providing HR advisory support to management and leading employee engagement initiatives.
- Experience in implementing process improvements and operational initiatives that enhance organisational effectiveness.

- Proficiency in both English and Malay is required.

- Proficiency in working with HRMS systems, MS Office applications, and digital collaboration tools.
- Strong interpersonal and communication skills with the ability to engage effectively with staff at all levels.
- Analytical and data‑driven mindset with the ability to generate insights from HR metrics and reports.
- Proven ability to manage confidential information with discretion and integrity.
- Certification in Human Resource Management (e.g., SHRM‑CP, CIPD, IHRP) is an advantage.
