Key Responsibilities
This role supports global learning and local HR operations, with a primary focus on administering the Learn365 LMS, managing training content, and tracking training metrics across Matmarket Group companies, while handling day‑to‑day HR support for Singapore and advising a contact in Korea. The position works closely with IT and Associate Directors of HR in the US, China, and Vietnam.
LMS Administration
- Administer the Learn365 LMS globally, including user setup, role management, course assignments, learning paths, and catalog maintenance.
- Create and update courses, training plans, and learning paths in Learn365, including assigning catalogs, due dates, recertification rules, and target audiences.
- Enroll users in training, manage groups and permissions, and process routine requests (e.g., add new joiners to onboarding paths, remove leavers).
- Monitor Learn365 dashboards daily to check course assignment status, new enrollments, overdue training, and system alerts.
- Troubleshoot common user issues (login/access, course launch problems, completion recording) and escalated technical problems to IT or the vendor.
- Maintain catalog content by retiring outdated courses, updating descriptions, tags, languages, and verifying all links and media function correctly.
Digital Training Content Creation
- Convert onboarding and IT skills training materials (PowerPoint, PDFs, recorded demos) into SCORM‑compliant e‑learning modules using authoring tools.
- Build basic quizzes, assessments, knowledge checks, and completion rules for IT skills and onboarding modules.
- Develop new digital learning content in collaboration with IT subject‑matter experts and Associate Directors of HR, ensuring content meets branding, compliance, and security standards.
- Validate content accuracy and ensure alignment with company data security and privacy messaging before publishing.
- Maintain a content backlog and update log for visibility across regional HR associates and the Korean contact.
Metrics, Reporting & Recognition Programs
- Generate standard weekly and monthly reports from Learn365 showing global completion rates by course and country, overdue mandatory training, and participation in optional learning.
- Prepare dashboards or summary slides for the CAO, Global IT Director, and Associate Directors of HR (e.g., completion status of top mandatory courses).
- Track eligibility and issuance of learning awards (badges, certificates, internal recognition) based on course completions and assessment scores.
- Monitor compliance training completion and follow up with managers and HR contacts to close gaps.
- Propose process improvements based on data insights to improve completion rates and reduce overdue training.
Document Management & Data Governance (Singapore + Korea Guidance)
- Maintain the Singapore HR document library (handbooks, policies, guidelines, templates) with proper version control, naming conventions, and access rights in line with company data security and retention policies.
- Coordinate distribution of new handbooks, policy updates, and guidelines in Singapore via LMS, email, intranet and record employee acknowledgments where required.
- Work with IT and compliance teams to ensure HR and training files follow data retention schedules and privacy regulations (archiving, deletion cycles).
- Provide the Korean contact with templates, checklists, and step‑by‑step instructions for implementing similar document management and training delivery practices locally.
Day‑to‑Day HR Operations (Singapore & Matmarket Group)
- Support onboarding in Singapore: prepare documentation, coordinate system access, enroll new hires into mandatory onboarding and IT training in Learn365, and ensure completions within the first weeks.
- Process routine HR transactions (changes in personal data, reporting lines, job titles) and ensure alignment between HRIS, LMS, and document records.
- Respond to everyday HR queries from Singapore employees (leave, benefits basics, policies) and escalated complex issues to the CAO or regional Associate Directors.
- Coordinate timing and communication of global HR initiatives (engagement surveys, performance cycles, training campaigns) with Associate Directors in the US, China, and Vietnam.
- Manage offboarding coordination and ensure proper data cleanup and access removal across systems.
Requirements
- Education & Experience Diploma or Bachelor's degree in Human Resources, Business, Information Systems, Education, or related field.
- 1–3 years' experience in HR, HR operations, or learning & development roles.
- Exposure to a learning management system (ideally Learn365 or other Microsoft 365–integrated LMS) is strongly preferred but not required; willingness to learn LMS administration is essential.
- Experience in a regional or global environment and in a technology‑enabled organization is advantageous.
Skills & Competencies
- Strong interest in HR, learning and development, and digital tools; comfortable working at the intersection of HR and IT.
- Basic understanding of SCORM standards and e‑learning content development; experience with authoring tools (Articulate Storyline, Adobe Captivate, etc.) or willingness to learn is valuable.
- Solid Excel/Sheets and general data skills for building reports and dashboards; familiarity with Power BI or similar tools is a plus.
- Strong written and verbal communication skills in English; ability to write clear how‑to guides and training communications.
- Detail‑oriented, well‑organized, and able to manage multiple projects and stakeholders across time zones and geographies.
- Awareness of data privacy and information security principles; familiarity with data retention or compliance requirements in Singapore is advantageous.
- Cross‑cultural collaboration skills and comfort working with colleagues across the US, China, Vietnam, Korea, and Singapore.
Compensation & Benefits
SGD 5,000 – 5,500 per month (approximately SGD 60,000 – 66,000 per annum), depending on experience, qualifications, and internal pay structures.
