Job summary

A staffing agency in Singapore is seeking an experienced administrative support professional to assist the Chief HR Officer (CHRO). Responsibilities include managing the CHRO’s calendar, preparing meeting materials, and supporting HR staff on-boarding and off-boarding. Candidates should have at least 8 years of office administration experience, with strong communication skills and proficiency in MS Office applications.

Qualifications

  • At least 8 years of relevant working experience in office administration.
  • Minimum 4 years experience in a secretary role.
  • Experience in handling highly confidential matters.

Job Description — Provide administrative support to the HR team, and concurrently take on secretarial support to the Chief HR Officer (CHRO).

The incumbent shall be responsible to:

  • Serve as the CHRO’s primary point of contact, handle correspondence and phone calls and manage her calendar of appointments and meetings.
  • Assist CHRO in preparing the materials for meetings she is required to attend and track follow-up action items.
  • Assist and expedites issues received by CHRO Office
  • IT and Fixed Asset Coordinator for the department, including managing tracking and audit matters.
  • Support the on-boarding and off-boarding matters for HR staff.
  • Secretariat for meetings
  • Any other projects and tasks as assigned.
Job Requirements
  • Minimum Diploma qualification
  • At least 8 years of relevant working experience in office administration, with at least 4 years of experience in a secretary role.
  • Warm personality with excellent interpersonal and communication skills
  • Reliable, responsible, pro-active and efficient
  • Experience in handling highly confidential matters
  • Meticulous, with an eye for details.
  • Proficient in the use of MS Office applications such as Microsoft Word, Excel, Powerpoint.
