A leading semiconductor company in Singapore is seeking a skilled Document Control Specialist to manage company documents and ensure compliance with record retention policies. The ideal candidate will have 7-10 years of experience in the construction industry and a diploma or bachelor’s degree in a related field. Proficiency in Microsoft Office Suite, Power BI, and project management platforms is required. The role involves developing standard procedures, administering document management systems, and training staff on documentation tools.
Manage company documents to ensure accuracy, quality, and integrity; support compliance with record retention policies, safeguard information, and enable efficient data retrieval.
Archive inactive records securely and systematically.
Ensure document management processes meet company procedures and audit requirements.
Establish and monitor records retention schedules in alignment with company policies.
Maintain confidentiality of sensitive documents and oversee secure destruction and disposal processes.
Administer document management systems and related software platforms, ensuring functionality and promptly coordinating with IT or relevant teams to resolve issues.
Update and maintain document management systems and physical records, including converting hard copies to electronic formats as required.
Report and resolve issues related to document storage and management systems.
Develop and standardize document management procedures for consistent implementation across all construction projects.
Maintain document naming and numbering conventions to ensure consistency and traceability.
Design templates for documents, file types, and document databases to streamline workflows.
Retrieve and distribute documents upon request, ensuring timely and accurate delivery.
Register and track all documents, including technical and non-technical materials such as drawings, blueprints, and specifications, in a centralized log.
Maintain logs and checklists for transmittals, submittals, RFIs, punch lists, defect lists, lessons learned, and other project documentation.
Collaborate with contractors, vendors, and internal stakeholders to issue and transmit requested documents efficiently.
Control document flow within and outside the department to maintain process integrity.
Develop and update training materials for document management processes, ensuring accuracy and timely revisions.
Conduct employee training on accessing and utilizing project documentation through tools such as Procore and ACC.
Diploma/Bachelor’s degree in Engineering, Project Management, Construction Management, or a related field.
7–10 years of experience in the construction industry.
Minimum 5 years of hands-on experience in document control.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), Power BI, and project/document management platforms such as ACC, Procore, Aconex, or equivalent.
Willingness to learn and adapt to new document control systems.
Strong ability to develop guidelines and procedures, and lead project teams in successful implementation of document control processes.
Demonstrated ownership of deliverables with the ability to work independently and collaboratively within diverse teams.
Excellent analytical and problem-solving skills.
High attention to detail, strong sense of urgency, and commitment to meeting timelines.
Exceptional verbal and written communication skills.
