Job Title: Front Desk Officer / Administrative Executive

Overview

We are looking for a professional, attentive, and well-organized Front Desk Officer / Administrative Executive to support our corporate secretarial team. As the first point of contact for clients—many of whom are business owners, directors, and corporate representatives—you will play a key role in upholding our firm’s service standards. This role involves client-facing responsibilities, mail handling for corporate clients, and a range of administrative tasks essential to the smooth operation of a corporate services firm.

Key Responsibilities
Client Reception & Front-Desk Management
  • Welcome and attend to clients who visit the office.

  • Maintain a professional and organized reception area that reflects the standards of a corporate services firm.

Mail & Document Handling
  • Collect, sort, and log incoming mail and courier items received on behalf of corporate clients.

  • Notify clients promptly about mail collection and ensure proper documentation of all outgoing and incoming items.

Phone & Communication Duties
  • Answer and route incoming calls professionally, ensuring prompt assistance to clients and stakeholders.

  • Support coordination with internal corporate secretarial executives for client follow-ups.

Administrative & Filing Responsibilities
  • Maintain organized physical and digital filing systems for statutory documents, client records, and administrative files.

  • Provide administrative support for company incorporation, annual compliance documentation, and other secretarial processes.

Miscellaneous & Office Support Duties
  • Support the corporate secretarial team on ad-hoc administrative tasks to ensure operational efficiency.

Requirements
  • Prior experience in front-desk, administrative, or service roles; experience in corporate secretarial firms is an advantage.

  • Strong communication skills with a polished, professional demeanor.

  • Familiarity with corporate documents (e.g., resolutions, annual returns, business profiles) is a plus but not mandatory.

  • Highly organized, detail-oriented, and able to manage multiple tasks in a time-sensitive environment.
