Working hours
- Monday to Thursday: 8.30AM - 6.00PM
- Friday: 8.30AM to 5.30PM
- Contract period: 6 months (extendable up to 3 months)
Job Duties:
Office & Facilities Management
- Oversee the day-to-day management of premises, including inventory, office equipment, stationery, and vendor coordination.
- Liaise with facilities management teams, security, and vendors/contractors on office-related matters.
Membership & Stakeholder Management
- Maintain and manage databases for Panels, Committees, and Boards, including appointments, renewals, invoicing, and collection of membership.
- Liaise with the Board, Committees, and other stakeholders on ad-hoc matters as required.
Enquiries & General Correspondence
- Handle phone, email, and in-person enquiries, responding where appropriate or directing enquiries to the relevant team or department.
- Manage and coordinate general correspondence.
Meetings & Events
- Provide logistical and administrative support for Board, Committee, and other meetings, including scheduling, preparation, and set-up.
- Support events and assist with external visits.
- Organize and coordinate regular staff welfare and team-bonding activities.
General Administrative Support
- Prepare monthly and ad-hoc administrative reports.
- Support company secretarial and governance-related administrative matters.
- Process invoices, travel arrangements, claims, and other administrative matters.
- Provide administrative support to the Chief Executive and his deputies as required.
- Undertake other duties and responsibilities as may be assigned from time to time in support of office operations.
Requirements
- Diploma holder with relevant experience in office administration or office management.
- Proficient in Microsoft Office and comfortable working with office databases.
- Meticulous, well-organized, and able to manage multiple tasks effectively, with a strong sense of ownership and initiative.
- Self-motivated, dependable, and hard-working, with the ability to work independently and collaboratively as part of a team.
- Strong interpersonal and communication skills, with an amiable, professional, and approachable demeanour.
- Demonstrates good customer service standards and is comfortable in a front-facing role, including handling enquiries, liaising with external vendors and contractors, and engaging members on renewal matters.
