Job Desciption
The role is responsible for leading Integrated Facilities Management (IFM) initiatives across Data Center business facilities, driving stakeholder engagement, overseeing operations, and ensuring alignment with organisational objectives. The role requires strategic leadership, innovative solutions from the design and build stage, and strong relationships with stakeholders to optimize service delivery and create an inspiring risk managed quality Data Center management and maintenance experience; deploying financial and non-financial resources, identifying and implementing revenue-increasing/cost-saving opportunities in the operation; relationship management with key stakeholders in external organisations; influencing internal stakeholders for necessary support; and overseeing adherence to company guidelines and local regulations.
Leadership Responsibilities
- Provide formal supervision to employees. Managing site FM team, monitor the training and development of staff. Conduct performance evaluations and coaching. Oversee the recruiting and hiring of new employees.
- Schedule and manage the team's daily activities. Establish work schedules, assign tasks, and cross-train staff. Set and track staff and department deadlines. Mentor and coach as needed.
- Team Leadership: Lead, coach, and mentor a team of facilities professionals, fostering a culture of collaboration, innovation, and continuous improvement.
Project Management
- Direct project management for addition & alteration and maintenance works.
- Assist in new build Data Centers from briefing for FM from bid, design phase to construction, commissioning, acceptance & transition to steady state.
- Plan annual power down maintenance of Site, prepare MOP, EOP, BCP and coordinate with various BUs for their approval.
- Implement Life cycle replacement/CIP projects, within planned budgets and timelines.
- Project Management: Partner with the global project management team to deliver projects on time, within budget, and to the required quality standards. Coordinate with regional stakeholders to ensure alignment and support for project initiatives.
Innovation
- Lead digitalization efforts and utilize analytics to enhance service delivery, client outcomes, and risk management.
- Process Improvement: Identify opportunities for process improvements and implement changes to enhance efficiency and effectiveness.
Relationship management
- Drive stakeholder-centric facility management approaches to create engaging campus environments, with high levels of client satisfaction and compliance with operating standards.
- Oversee integrated operations including planning, project execution scheduled maintenance & day to day management of Data Center spaces.
- Manage end-to-end contract administration, procurement processes, and vendor relationships to ensure service quality and cost effectiveness.
- Vendor Management: Build and maintain strong relationships with vendors, managing contracts, performance, and issue resolution to ensure seamless service delivery.
- Weekly engagement with premises operators and following up with activities, with regular updates to client.
- Stakeholder Engagement: Work closely with cross-functional partners, including business executives and corporate functions, client partners and supply chain to ensure alignment and support for facilities initiatives.
Quality Management
- Ensure compliance with client & facility specific service continuity requirements and accreditation, including scheduled risk management planning & mitigation.
- Ensure compliance with quality, environmental, health and safety standards.
- Perform facility inspections, quality assurance following local regulations and ISO standards. Suggest operational efficiencies, repairs, and upgrade opportunities.
- To meet KPI/SLA for Planned PM Work Orders, Reactive Work Orders, closing out Work orders on time.
- Raising Self initiative work orders on day-to-day basis and close them on time within SLA. (proactive checks)
- Incident escalation through SAAS ServiceNow (BIR, problem/change management/ticketing systems) within required tier SLA response times.
- Sustainability PIC for Site- Maintain Environment controls as per client's standards.
Risk & opportunity management
- Oversee design and implementation of risk & opportunity management processes on the project in conjunction with Data center Project Leads together with Engineering & Risk Manager
- Review risk & opportunity reports on a regular basis with work peers such as Site Agents, Construction Manager, Commercial Manager, Identify key risks/opportunities from the overall list suggested by team members
- Guide project team in mitigation of key financial (cost/time overruns) and safety related risks
- Guide project team on identifying and implementing process improvements and workarounds to leverage cost-saving opportunities
- Analyze opportunities for increasing project revenue due changes in scope of work; Negotiate with client to seek approval on major cost implications of changes in scope and seek for long term lasting facilities in the outcomes
People management
- Set objective goals, evaluate performance of subordinates and provide them regular feedback
- Identify performance gaps in subordinates and provide necessary support to close such gaps
- Recognize and encourage high performing subordinates
- Train and mentor subordinates on technical as well as behavioral aspects of their respective roles
- Provide opportunities to the team to develop their capabilities
- Resolve issues faced by subordinates
Job Requirement
- Degree in Civil Engineering / Facilities Management or equivalent
- Total work experience: 15+ years' experience in corporate & commercial real estate and/or facilities management, with at least 5 years in a leadership role, with specific experience in critical systems engineering management.
- Comprehensive experience of delivering facilities programs across APAC (or similar scope) within soft & hard services.
- Proven experience in driving FM inputs through the pre contracts phase
- Proven track record of driving innovation and continuous improvement in FM programs
- Demonstrated understanding of the commercial terms of outsourcing contracts and delivery methodologies
- Ability to guide the exchange of sensitive, complicated, and difficult information, convey performance expectations and handle problems.
- Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department.
- Proven analytical and problem-solving skills, with track record of identifying opportunities for improvement
