Job description

F&B Administrator cum Graphic Designer

We are looking for a highly organized, detail-oriented, and creative individual to join our Food & Beverage team as an F&B Administrator cum Graphic Designer. In this hybrid role, you will support the Director of F&B in managing daily operations while also creating visually compelling, brand-compliant materials that enhance our guest experience.

Key Responsibilities
F&B Administration & Operations
  • Manage reservations, banquet schedules, and outlet bookings; prepare daily and weekend reservation lists.
  • Handle guest and client enquiries via phone, email, and face-to-face interactions.
  • Prepare invoices, collect deposits, issue receipts, and coordinate with Accounts for payment confirmation.
  • Maintain accurate records for bookings, promotions, events, contracts, and licenses.
  • Update menus, recipes, and costing in the POS system.
  • Liaise with HR on attendance, overtime, petty cash claims, and casual labour requisitions.
  • Coordinate with Purchasing, Kitchen, and Operations on quotations, PRNs, and stock management.
  • Prepare and circulate banquet calendars and weekly updates to relevant departments.
Graphic Design & Creative Support
  • Design and produce all F&B related materials, including menus, posters, flyers, table tents, digital screens, signage, and operational notices.
  • Ensure all guest-facing materials are accurate, visually appealing, and brand-compliant.
  • Maintain consistency in brand guidelines, including fonts, colors, logos, and layouts.
  • Manage multiple design requests, revisions, approvals, and deadlines from Operations, Marketing, and Events teams.
  • Coordinate with printers and vendors, ensuring timely and high-quality delivery.
  • Maintain menu version control, artwork archiving, and approval tracking.
Minimum Requirements
  • Diploma or Degree in Hospitality Management, Business Administration, Graphic Design, Multimedia, or related fields.
  • Experience in F&B administration, hotel operations, or graphic design is an advantage.
  • Fresh graduates with strong digital knowledge and design skills are welcome to apply.
  • Proficiency in Adobe Creative Suite (Illustrator, InDesign, Photoshop) or similar tools.
  • Familiarity with POS systems is a plus.
  • Highly organized, detail-oriented, and able to multitask in a fast-paced hospitality environment.
