Job summary

A leading property and asset management company in Singapore seeks an experienced executive assistant to support Senior Management. The ideal candidate will manage schedules, coordinate administrative tasks, and ensure smooth daily operations with a strong emphasis on attention to detail and confidentiality. Applicants must have a minimum of 5 years supporting senior leaders, preferably in listed companies, and must be Singaporean citizens or permanent residents. This position offers a fixed salary of $5,000 - $6,000 and requires work from the office.

Qualifications

  • At least 5 years of experience supporting Senior Leader(s) or Board Member(s).
  • Prior experience liaising with government ministries or public-sector stakeholders.
  • Experience in local companies with a stable employment record.

Responsibilities

  • Manage calendars and schedules for Senior Management.
  • Handle dining and entertainment arrangements.
  • Prepare and manage emails and correspondence.
  • Receive guests and manage meeting refreshments.
  • Process payments and financial reconciliations.
  • Coordinate office matters like supplies and deliveries.
  • Liaise with internal and external parties.
  • Handle urgent matters beyond office hours as needed.

About the Company

Our client is a well-established Property and Asset Management Group founded in Singapore, with a strong reputation for quality developments and long‑term stability.

About the Role

You will work within a small team to support a Senior Management leader who sits on multiple Boards. The environment moves quickly and requires sharp attention to detail. Your responsibilities include managing schedules, handling administrative and confidential matters, and keeping day‑to‑day operations running steadily.

  • Remuneration: $5,000 - $6,000 Basic (this is a fixed salary range with no additional bonuses)
  • Work Hours: 8.30 am to 5.30 pm (Mon-Fri), work from office
  • Office Location: Killiney Road, near Somerset MRT Station
Key Responsibilities
  • Manage calendars, meetings and schedules, including coordination with external PAs and reminder management
  • Handle dining and entertainment arrangements such as restaurant bookings, menus and hosting requirements
  • Prepare and manage emails, correspondence, filing and printing of board documents
  • Receive guests professionally and manage meeting refreshments
  • Process payments, claims, credit card reconciliations and prepare telegraphic transfers
  • Coordinate office matters including equipment, supplies, festive gifts, delivery schedules and wine inventory
  • Liaise with internal departments and external parties on administrative and logistical tasks, including occasional home‑related matters
  • Able to handle small and complex tasks, including coordination of the Senior Management member's family and domestic matters
  • Able to work and/or attend to urgent matters via phone or WhatsApp beyond office hours when required, including weekends
Requirements
  • Open to Singaporean Citizen or Permanent Residents ONLY
  • Private Secretarial qualification, or GCE A Level and above
  • [MUST HAVE] Minimum 5 years of experience supporting Senior Leader(s) or Board Member(s) from listed companies, including coordination of board meetings, logistics, and confidential materials
  • Prior experience liaising with government ministries or public‑sector stakeholders for events, protocols, speeches, or official engagements
  • Prior experience working in local company(ies) to ensure adaptability to the work environment, with a stable employment record rather than frequent short stints
  • Works well independently with minimal supervision
  • Proficient in Microsoft Office suite
