Job Description

Provide secretariat support to meetings related to the nursing department and RCD level committee(s). The Secretariatrole includes but is not limited to:

  • a. Scheduling of meetings
  • b. Creation and sending of invitations for meeting and monitoring of responses
  • c. Agenda setting with Nursing leaders and slides preparation if required
  • d. Logistics set up
  • e. Attendance taking
  • f. Minutes writing or notes taking when required
  • g. Tracking of action plans, if required
  • h. Support policy reviews i. Track and maintain accurate records for reporting to Clinical Governance Committee, when required

2. Keep accurate and up-to-date records required for regulatory and organisational compliance and audit(s)

3. Assist Nurse Managers in managing dormitory list and any other databases, including but not limited to formatting and printing of materials

4. Liaison between nursing and external clinical service provider(s) for scheduling and billings

5. Assist in the procurement of medications and billings from vendor(s)

6. Liaise between Nursing and Operations to arrange transport for medical appointments

7. Develop and prepare resident related administrative information and collaterals

8. Maintain sufficient stationery and laboratory supplies for residence levels

9. Manage archival of medical records for all death/discharge cases

10. Initiate, drive or support nursing home quality improvement, including process innovation and care model-relatedinitiatives

11. Drive standardisation and process improvement in nursing admin processes across all nursing homes and representnursing admin group at Division/Organisation level system implementation or testing

12. Support Nurse leaders in the orientation of new nursing staff, and creation of IT accesses for nursing staff

13. Maintain and issue lockers to nursing staff, where required

14. Be the learning Coordinator for the nursing home, including maintenance of training and certification records

15. Collate nominations for training and correspond with nursing homes and/or external parties on course administration,including CPE points recreation.

16. Plan and coordinate division-wide training sessions with vendors

17. Collect, report, disseminate and follow-up on attendance, quizzes and course evaluations

18. Assist in student placement and logistics required, when required

19. Assist in the collation of clinical quality indicators for reporting and presentation

20. Support the continuous review of Incident Reporting format to ensure coverage of emerging or operational risksidentified on the ground

21. Submit all incident reports through Corporate Incident & Risk Management Portal

Qualifications
  • Possess Diploma or Degree in any discipline
  • Knowledge in a healthcare setting would be an advantage
  • Minimum 2 years of experience in administrative support
  • Proficient in Google Workspace (e.g. Google Docs/Sheets/Slides, Gmail)
  • Be detail-oriented and meticulous
  • Have good communication skills (oral and writte)
  • Able to work independently
  • Be a team player, open to task-switching to support the business needs
  • Be resourceful and self-directed to act on tasks
