About the Role
We invite suitable candidates to apply for the position of Executive, Document Controller, to support the management, organisation, and maintenance of project documentation for major rail, electrical, and infrastructure projects.
Key Responsibilities
- Document Control & Management
- Maintain, control, and update all project documentation, including drawings, correspondences, method statements, and reports, in accordance with project and company requirements.
- Control document numbering, versioning, and distribution according to company and client (e.g. LTA, main con) requirements.
- Ensure timely uploading, downloading, distribution and tracking of documents through EDMS platforms such as Aconex, Asite, H360, and BIM360.
- Monitor document status, approvals, and outstanding submissions.
- Submission & Tracking
- Prepare, compile, and submit project documentation in compliance with contractual requirements, project specifications, and submission schedules.
- Track submission progress, approval timelines, and follow up with engineers, consultants, and subcontractors.
- Ensure all submissions are correctly formatted and compliant with contract and project specifications.
- Project Coordination
- Coordinate with internal teams (engineering, procurement, QA/QC, site team) to ensure updated and accurate documentation.
- Liaise with client/consultant document controllers for submission requirements and updates.
- Support project audits, inspections and documentation requests.
- Quality & Compliance
- Maintain proper filing, archiving, and retrieval systems for hardcopy and digital documents.
- Ensure compliance with ISO standards, project quality plans, and company document control procedures.
- Assist in preparation of project handover documentation and close‑out manuals.
Requirements
- Diploma / Higher Nitec / relevant certification in Business Administration, Engineering, or related fields.
- Prior experience in document control for construction, engineering, M&E, or LTA‑related projects will be an added advantage.
- Proficient in MS Office and EDMS platforms (Aconex, Asite, BIM360, etc.).
- Strong attention to detail, organisational skills, and ability to meet tight deadlines.
- Good communication skills and ability to coordinate across departments.
