Role Overview

The Executive / Coordinator (Volunteer Management) supports the effective coordination, engagement, and governance of volunteers across Hope Initiative Alliance’s programmes and initiatives. This role ensures that volunteers are well supported, appropriately deployed, and meaningfully engaged, in accordance with HIA’s Volunteer Management Manual and sector best practices.

The role contributes to a positive and safe volunteering experience by supporting recruitment, onboarding, deployment, record management, and engagement processes, while also assisting with compliance, reporting, and risk management related to volunteer involvement. With volunteers being a key resource of Hope Initiative Alliance in delivering impact to beneficiaries, this role plays a meaningful part in supporting and enabling the work that directly serves the communities we work with.

Key Responsibilities
  • Support volunteer recruitment, onboarding, and orientation
  • Assist in volunteer screening and incident or grievance follow-up
  • Coordinate volunteer deployment for programmes, events, and outreach activities
  • Maintain accurate volunteer records, databases, and attendance tracking, while adhering to PDPA and data protection requirements
  • Communicate regularly with volunteers and volunteer groups
  • Support volunteer engagement, recognition, and retention efforts
  • Assist with training sessions and briefings
  • Support compliance and safety requirements related to volunteer activities, including HIA’s Volunteer Management Manual, NCSS guidelines, and internal policies
  • Support reporting, documentation, and audit readiness related to volunteer management
Requirements
